Contract Specialist

This role focuses on administering construction contracts and supporting change management processes across multiple projects within a structured business environment. The Contract Specialist reviews and interprets construction contracts, analyzes change orders, maintains contract databases and tracking tools, and coordinates entitlement review and change management activities with internal and external stakeholders. The position requires strong organizational skills, meticulous attention to detail, and the ability to manage a high volume of documentation and communications while ensuring contract management and compliance processes are consistently followed.

Responsibilities
  • Support the administration of construction contracts and change management processes across multiple projects in a structured business environment.
  • Review construction contracts and negotiated agreements to extract key data, verify compliance with established processes, and enter information into contract management systems and trackers.
  • Perform detailed construction change order analysis, including entitlement review, documentation verification, and coordination with contract stakeholders.
  • Conduct contract interpretation and entitlement assessment under GMP (Guaranteed Maximum Price) and lump-sum construction contracts.
  • Complete special administrative projects related to contracts administration as assigned, ensuring timely and accurate delivery.
  • Enter contract and change order data into contract databases and Excel-based tracking tools, maintaining accurate logs, trackers, and status reports.
  • Organize and monitor workflow for documentation submitted through multiple departments, ensuring information is complete, properly routed, and tracked.
  • Coordinate contract reviews and entitlement reviews through meetings, conference calls, and email, ensuring all participants receive relevant materials and updates.
  • Schedule, organize, and attend contract-related meetings, including change management meetings and project coordination calls.
  • Prepare meeting agendas, supporting materials, and presentations for contract and change management discussions.
  • Document key decisions, action items, and outcomes from meetings, and ensure follow-up activities are clearly assigned, tracked, and completed.
  • Maintain and update change logs, trackers, and other documentation related to construction change management and entitlement review processes.
  • Monitor contractual response timelines, track action items, and follow up with contractors, project teams, and internal stakeholders regarding outstanding items and required documentation.
  • Serve as a point of contact for the user community on the Contract Management and Compliance Process, providing guidance and support on procedures and tools.
  • Support contract administration activities across multiple projects, working closely with contract managers, project managers, cost managers, and contractor representatives.
  • Proactively identify and communicate process issues, documentation gaps, or compliance concerns, and help drive resolution in coordination with relevant stakeholders.
  • Maintain contract documentation and reporting with a high degree of accuracy, ensuring records are complete, organized, and easily retrievable.
  • Manage large volumes of documentation and information simultaneously while maintaining attention to detail and adherence to established processes.
  • Use Microsoft Office applications and data tracking tools to prepare reports, summaries, and dashboards related to contracts and change management activities.
  • Act as a resource for project teams on contract administration procedures, document control practices, and change management workflows.
  • Consistently meet established deadlines for contract reviews, data entry, reporting, and follow-up actions.
  • Support metro-wide construction change management and entitlement review processes by coordinating contractor review meetings and maintaining comprehensive documentation.
  • Perform other contracts administration and project support duties as assigned.
Essential Skills
  • Construction contract administration and change-order analysis experience: 5+ years.
  • Contract interpretation and entitlement assessment under GMP or lump-sum construction contracts: 3+ years.
  • Experience with change management systems, Excel-based tracking, documentation, and reporting: 3+ years.
  • Demonstrated experience supporting contract administration, project controls, construction management, procurement, legal operations, or commercial management functions in a fast-paced environment.
  • Strong organizational skills with the ability to manage large volumes of documentation and track multiple deliverables simultaneously.
  • High attention to detail and accuracy in maintaining contract documentation, change logs, trackers, and reports.
  • Proficiency with Microsoft Office applications, including Excel, for data tracking, documentation, and reporting.
