Fleet Coordinator

We are looking for a Fleet Coordinator to provide organized administrative support for fleet and operations activities in Phoenix, Arizona. This contract position with potential for a permanent role is ideal for someone who excels at record accuracy, document management, and cross-functional coordination in a fast-moving environment. The role will focus on maintaining fleet information, supporting compliance-related tasks, and helping advance ongoing vehicle administration projects.

Responsibilities:

  • Manage and update fleet information across internal databases, maintenance platforms, and tracking tools to keep records accurate and current.
  • Organize digital files for vehicle-related documents such as registrations, insurance paperwork, titles, and other compliance materials.
  • Work directly with drivers and internal stakeholders to collect missing information and ensure required documentation is submitted on time.
  • Support fleet initiatives by researching state-specific vehicle and registration requirements and summarizing findings for the team.
  • Coordinate title transfer activities to ensure vehicles are properly recorded under the organization and tracked through completion.
  • Monitor the status of fleet administrative tasks and follow up on outstanding items to help keep projects moving on schedule.
  • Maintain dependable records that support reporting, audits, and compliance needs across fleet operations.
  • Provide day-to-day administrative assistance to the fleet and operations team, including data entry, tracking, and document support.

Requirements – At least 2 years of experience in administration, coordination, office support, or a related function.

Strong organizational ability with proven success handling multiple priorities and deadlines.

Clear written and verbal communication skills for working with drivers and internal teams.

High level of accuracy and attention to detail in data entry, record maintenance, and documentation review.

Comfortable navigating multiple systems, databases, and Microsoft Office applications including Excel, Outlook, and Word.

Ability to research processes and interpret requirements across different states or jurisdictions.

Background in fleet, logistics, transportation, or operations support is preferred.

Familiarity with vehicle records, compliance documentation, or similar administrative workflows is a plus.
