Front Office Lead – Medical Practice

True Precision Medical is a growing outpatient vascular and interventional practice focused on delivering an exceptional patient experience from the first phone call through follow-up care.

We are looking for an experienced, highly organized Front Office Lead who can both work in the day-to-day front office and take ownership of ensuring front-office operations run smoothly.

This is a hands‑on leadership role for someone who notices what needs to be done, follows through without needing constant direction, and is comfortable holding themselves and others accountable to clear expectations.

What You'll Own

The Front Office Lead will oversee the daily execution of front-office operations, including:

  • Patient check-in and check-out
  • Answering and routing incoming calls
  • Appointment confirmation and patient communication
  • Monitoring upcoming schedules for gaps, issues, or incomplete items
  • Following up on cancellations and no-shows
  • Ensuring follow-up appointments are scheduled appropriately
  • Maintaining accurate patient demographics and insurance information
  • Collecting copays and patient-responsibility amounts when applicable
  • Coordinating with clinical staff regarding patient needs
  • Ensuring incoming referrals and front-office tasks are routed to the appropriate team
  • Monitoring front-office work queues and outstanding tasks
  • Identifying issues before they become patient‑care or scheduling problems
  • Helping maintain consistent front-office processes across clinic locations
  • Training and supporting front-office team members
  • Providing day‑to‑day direction and accountability to front‑office staff
  • Escalating operational issues appropriately when leadership involvement is needed
What Leadership Looks Like in This Role

We're looking for someone who doesn't wait to be told that something needs attention.

If the schedule has openings, you look for opportunities to fill them. If a patient hasn't confirmed, you make sure someone follows up. If a process isn't being completed consistently, you identify why and help correct it. If something is going to affect tomorrow's clinic, you address it today.

The Front Office Lead is expected to know what is happening in the front office, what still needs to happen, and who owns it.

This position does not mean simply delegating work to others. The Front Office Lead is an active member of the front‑office team and will regularly perform the same functions as the employees they lead.

What We’re Looking For
  • 3+ years of medical front-office experience preferred
  • Experience with patient scheduling, check‑in/check‑out, insurance verification, referrals, or authorizations
  • Previous lead or supervisory experience strongly preferred
  • Experience with eClinical

    Works (eCW) strongly preferred
  • Strong organizational and follow‑through skills
  • Ability to prioritize multiple responsibilities in a busy medical practice
  • Comfortable communicating with patients regarding scheduling, insurance, benefits, and financial responsibility
  • Able to coach and redirect team members professionally
  • Strong attention to detail
  • Comfortable working in a growing organization where processes may evolve
  • Someone who takes initiative and looks for solutions rather than waiting for direction
  • Bilingual English/Spanish is a plus

Success in this role isn't just about completing individual tasks. We'll look at the performance of the front office as a whole, including:
