This position requires flexible work hours that align with program and event calendars. The workweek may include nights and weekends, and may involve working irregular hours to meet grant requirements.
Purpose Statement: The job of Clerk II is to greet and direct visitors, respond to inquiries from staff, the public, parents, students, etc., provide clerical support to administrative personnel, and provide requested information and/or referral to other parties that participate or need support with resources and referrals related to the Family Resource Center’s First Things First grant. Reports to the First Things First Manager.
EssentialFunctions
- Answer telephone system for screening calls, transferring calls, responding to inquiries, and/or taking messages, emailing messages.
- Coordinate projects, functions and program components (e.g., meetings, substitute coverage, maintain electronic calendars) to complete activities and deliver services in a timely manner related to grant funding.
- Greet individuals entering the building (visitors, parents, students, vendors, etc.), respond to inquiries, and/or direct individuals to appropriate locations per building security procedures.
- Input data into commercial and customized databases (attendance, scheduling, transcripts, etc.) to ensure accurate data.
- Maintain a variety of manual and electronic documents, files and records (absence reports, etc.) to provide up-to-date information and historical reference per administrative guidelines and legal requirements.
- Perform general clerical functions (copying, faxing, data entry, filing, purchase orders, and work orders for building maintenance) to support grant operations.
- Schedule activities (appointments, building use, bus and van usage, etc.) to arrange necessary resources for the Family Resource Center.
- Support program with setup and breakdown of tables, chairs, materials and cleaning program materials.
- Maintain reception area materials to provide resource information to visitors.
- Monitor individual and/or groups of students in various settings (e.g., during adult-only parenting programs) to provide a safe and positive learning environment.
- Perform other related duties as assigned to ensure efficient and effective functioning of the work unit.
