About The Role
The Office Manager keeps the operating system of a distributed technology team running smoothly across people, vendors, facilities, and administrative workflows. The role supports a remote-first environment serving engineering, product, and customer teams working on cloud-based software.
You will own the systems and coordination that make day-to-day work predictable: onboarding logistics, vendor management, virtual and in-person events, purchasing, documentation, and office operations in Phoenix. The work matters because strong operational infrastructure gives technical teams more time to build, ship, and support reliable products.
Key Responsibilities- Own office and workplace operations for the Phoenix hub, including vendor coordination, supplies, access requests, maintenance, and safety documentation
- Coordinate employee onboarding and offboarding with People, IT, and hiring managers using tools such as Rippling, Okta, Slack, and Jira
- Manage purchasing, invoices, expense workflows, and vendor renewals through systems such as Ramp, Net Suite, or equivalent platforms
- Plan and execute team meetings, offsites, customer visits, and technical events, including budgets, travel, catering, room setup, and post-event follow-up
- Maintain operational documentation, SOPs, inventories, contact lists, and recurring task trackers in Notion, Google Workspace, or Confluence
- Build weekly status reports and dashboards covering open requests, spend, vendor commitments, onboarding readiness, and workplace issues
- Coordinate cross-functional projects with Finance, IT, People, and Facilities, tracking owners, deadlines, risks, and deliverables to completion
- 3-6 years of experience in office management, workplace operations, executive support, or administrative program coordination in a technology environment
- Demonstrated ability to manage high-volume requests, competing priorities, and sensitive information with sound judgment and attention to detail
- Hands-on proficiency with Google Workspace, Slack, Zoom, Jira, Notion or Confluence, and expense or procurement platforms such as Ramp or Brex
- Strong vendor-management and budgeting skills, including invoice review, purchase approvals, contract tracking, and reconciliation
- Excellent written and verbal communication skills with the ability to coordinate clearly across remote and in-person teams
- Experience creating repeatable processes, maintaining accurate records, and delivering projects on schedule with limited supervision
- Bachelor’s degree in business administration, operations, communications, or a related field, or equivalent professional experience;
Bonus: experience supporting a distributed engineering organization, managing a Phoenix workplace, coordinating SOC 2 or ISO 27001 evidence collection, or working with facilities and IT service providers
