The A/R Specialist’s primary role is to ensure payments received from customers for projects or repair work are recorded accurately and timely.
Responsibilities- Review, research, process and post payments received to correct customer accounts.
- Assist the Project Accounting and Service Team with Collections while providing an exceptional customer experience.
- Research and manage un‑applied payments.
- Perform customer account reconciliations.
- Create new customer accounts and prepare customer statements.
- Process customer refunds.
- Manage bad debt.
- Interface with third‑party collection companies.
- Customer credit management.
- Provide support for internal and external audits.
- Continuously evaluate current policies and recommend process improvements.
- Additional duties as requested.
- AA or BA in Accounting or related degree preferred OR minimum four years of construction accounting experience.
- Proficiency with Windows applications, primarily Word, Excel, PowerPoint and Outlook.
- Proficiency with Adobe Acrobat.
- Excellent organization skills, accuracy, dependable work habits and good communication skills.
- Ability to respond to common inquiries or complaints from customers.
- Ability to plan work and sequence priorities.
- Ability to be flexible and handle a variety of tasks simultaneously.
- Ability to speak articulately one‑on‑one or to small groups.
- Ability to compose articulate and grammatically correct written communication.
- Ability to perform under difficult conditions, such as simultaneous deadlines.
- Ability to handle conflict.
- Experience with lien law and construction collections.
- Knowledge in construction billing practices (Retention, OCCIP, CCIP, change orders, etc.).
- Experience handling customers’ refunds and unapplied cash.
- Experience with Microsoft Dynamics 365.
- Experience managing bad debt.
- Must be able to effectively communicate in English (see, hear, speak and write clearly) to communicate with colleagues and/or customers.
- Manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment.
- Sitting, standing, and walking in office environments and construction sites.
- The employee must occasionally lift and/or move up to 50 pounds and may be required to work at heights over 1.8 m (6 ft).
- The office is clean, orderly, properly lit and ventilated. Noise levels are considered low to moderate.
- Will be required to be on site with customers or contractors, with or without BBT colleagues to manage expectations and deliverables. Sites range from general office environments to new construction.
- Driving to customer sites is required.
- Limited overnight travel may be required.
