Job Overview

The purchasing coordinator will play a vital role in supporting the procurement and supply chain functions of the organization. This position will be responsible for assisting with administrative and operational tasks to ensure efficient procurement and delivery of goods and services. This role requires attention to detail, strong organizational skills, and the ability to work effectively within a team.

Essential Duties and Responsibilities Procurement Support
  • Prepare and send out purchase orders to suppliers.
  • Monitor order status and track deliveries to ensure timely receipt of goods.
  • Assist in sourcing and identifying potential suppliers or vendors.
  • Resolve discrepancies and issues related to purchase orders and invoices.
  • Maintain accurate records of all procurement-related documents.
  • Build and maintain strong working relationships with suppliers to ensure smooth procurement processes.
  • Address and escalate any supplier-related concerns to the purchasing manager.
Inventory Management
  • Assist in maintaining inventory levels and reorder points to prevent stockouts.
  • Conduct periodic stock checks and assist in inventory reconciliation.
  • Keep records of inventory levels and report shortages or excesses.
Data Entry and Analysis
  • Enter and maintain purchasing data in the procurement system or software.
  • Prepare reports, charts, and analysis related to procurement activities.
  • Assist in analyzing procurement data to identify cost‑saving opportunities and trends.
Administrative Support
  • Provide general administrative support to the purchasing department, such as filing, scheduling meetings, and answering phone calls.
  • Manage and organize procurement-related documents, both electronically and in hard copy.
Compliance and Documentation
  • Ensure compliance with company policies, procedures, and relevant regulations.
  • Maintain and update supplier information and agreements.
Qualifications and Skills
  • High school diploma or equivalent (associate degree or

    B.Sc. in Logistics, Purchase and Supply, Business Administration or related fields is preferred)
  • Experience in a purchasing or procurement role is beneficial.
  • Proficiency in procurement software and tools (e.g., MS BC, Cin7, Zoho, Quickbooks or MS Excel).
  • Strong communication skills, both written and verbal.
  • Excellent organizational skills and attention to detail.
  • Ability to work in a team and collaborate effectively.
  • Basic knowledge of procurement principles, supplier management, and inventory management.
  • Strong problem‑solving and analytical skills.
  • Time management and multitasking abilities.
