The Executive Support Coordinator provides administrative and operational support to the Vice President and People Operations team. This role is responsible for coordinating meetings and events, managing logistics, tracking key initiatives, and supporting day-to‑day activities across talent acquisition, HR, training, and program engagement. The ideal candidate is highly organized, detail‑oriented, and able to manage multiple priorities while providing reliable support to leaders and teams across the organization.
GeneralJob Duties and Responsibilities
- Provide day‑to‑day administrative support to the Vice President and People Operations team, including calendars, scheduling, travel, agendas, and meeting materials.
- Organize information, maintain records, and keep priorities, deadlines, and commitments on track.
- Plan and coordinate leadership meetings, training sessions, and team events, managing all logistics from venues and travel to catering and communications.
- Travel to team outings and events as needed to oversee on‑site logistics and ensure smooth execution.
- Track key projects and initiatives across People Operations and leadership, maintaining action items and providing regular status updates.
- Serve as a knowledgeable resource on Culture Index, supporting assessment administration, reporting, and adoption across recruiting, onboarding, and team development.
- Use AI tools to build presentations, reports, agendas, and data analytics that support leadership decision‑making.
- Research and develop tools, templates, and systems that improve team efficiency.
- Other responsibilities as assigned.
- Experience with or strong interest in Culture Index, with the ability to help drive adoption across the team.
- Event coordination experience, including managing logistics, travel, and vendors for meetings or team events.
- Project management experience, including tracking action items, deadlines, and initiative status across multiple stakeholders.
- Highly organized and detail‑oriented, with a proven ability to manage multiple priorities and deadlines.
- Based in or near the Phoenix, AZ area, with the ability to work on‑site (flexible schedule, no fixed hours).
- Willing and able to travel as needed for company events and team outings.
- Genuine interest or engagement in AI tools, with the ability to use them to build reports, presentations, and data analytics.
- Experience with or interest in Culture Index strongly preferred.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office and comfortable learning new technology tools.
- Ability to maintain confidentiality and professional demeanor at all times.
- Bachelor's degree preferred; high school diploma or GED required.
Compensation: $30–$35/hour, based on experience.
