Job Summary

The Financial Operations Manager will oversee, enhance, and operate the "quote to cash" operations, including order and contract management, resource planning, invoicing, and receivables. The role focuses on continuous process improvement, financial analysis for profitability, and identification of key performance indicators. It also includes market research to identify growth opportunities and develop strategic plans for expansion.

Supervisory Responsibilities
  • Directly supervises the Financial Analyst and offshoring personnel as required.
Duties and Responsibilities
  • Strategic Planning and Analysis
    • Develop best practices and strategic initiatives for future growth.
    • Execute plans from start to finish, including schedules, resource allocation, and workflow management.
    • Analyze historical and current job/project profitability at the individual level; develop and track KPIs such as margin, revenue per resource, and billing efficiency.
    • Conduct market research to identify growth opportunities and create actionable strategic plans.
    • Measure progress toward corporate growth goals and recommend corrective actions.
    • Monitor the chart of accounts, including service item listings, to enable detailed financial monitoring and reporting.
    • Maintain a resource planning system and integrate project schedules into weekly resource plans to meet utilization goals.
    • Assist with screening and recruiting of local talent.
  • Order and Contract Management
    • Assist with proposal reviews.
    • Review pending orders and contracts to ensure compliance with pricing, scope of work, and liability insurance before technical work begins.
    • Maintain and improve tools used to generate quotes.
    • Prepare and maintain annual MSAs and time and materials contracts for review by management.
    • Oversee procurement and delivery of job-related materials.
  • Budget and Financial Support
    • Monitor financial performance and make data‑driven decisions to meet targets.
    • Create billing milestones to improve invoicing timeliness; review and approve invoices to ensure appropriate billing and rates.
    • Enhance quotation generation processes for accuracy.
    • Perform monthly accounting reviews with a focus on job/project-level profitability, revenue recognition, cost tracking, margin variance, accounts payable/receivable, cash flow reporting, and resource utilization.
    • Review AR aging reports to identify and follow up on overdue accounts.
    • Provide Project Managers with regular profitability reports comparing budgeted versus actual costs and other key metrics.
    • Ensure that financial data complies with company data retention policies.
  • Additional responsibilities as required to support organizational goals and adapt to evolving business needs.
Attributes and Abilities
  • Strong leadership and team‑building skills.
  • Excellent communication and interpersonal skills.
  • Knowledge of GAAP, revenue recognition, internal financial controls, and compliance.
  • Proficiency in Microsoft Office and project management software.
  • Strong analytical, organizational, and problem‑solving skills with a focus on process improvement.
  • Proven ability to manage budgeting, invoicing, and profitability analysis.
  • Proficiency in Net Suite and Ramp required; familiarity with resource planning tools and project management systems preferred.
  • Ability to handle multiple tasks and deadlines effectively.
Experience and Education
  • Bachelor’s degree in Business Administration, Finance, or a related field.
  • 1–3 years of experience in business operations, preferably in the electrical engineering industry.
Physical Requirements
  • Regular travel to project sites may be required.
  • Flexibility and availability to work beyond regular business hours.
  • This is an office desk position with no significant physical exertion required.
