We are seeking a detail-oriented and proactive Project Manager to support and lead small to medium projects and sub-projects from proposals through closeout. This role is responsible for coordinating scope, schedule, budget, invoicing, deliverables, and client communication while working closely with Senior Project Managers, internal execution teams, consultants, and clients.

Responsibilities:
  • Identify all required Prism and consultant scopes through field walks, RFP review, and client coordination
  • Independently define scope for small, medium, and large sub-projects and lead projects
  • Prepare detailed cost estimates for projects of varying size and complexity
  • Identify scope gaps, risks, and additional service opportunities
  • Prepare proposal write-ups including scope, deliverables, services, assumptions, and exclusions for small and medium projects; assist on larger or lead projects as assigned
  • Support contract execution, funding setup, and project initiation activities
  • Identify potential scope gaps or additional service opportunities during proposal and execution phases
  • Coordinate internal and external project kick-off meetings
  • Establish project folders, BIM
    360 setup, Smart Sheet, QA/QC tracking, and required documentation
  • Ensure project information (schedule, milestones, forecast, team, contacts) is updated prior to kickoff
  • Coordinate with drafting and document control teams to obtain required background files
  • Develop and maintain project schedules based on scope, deliverables, and stakeholder availability
  • Monitor progress and adjust schedules due to scope changes, missing information, or unforeseen conditions
  • Identify scope changes and evaluate impacts to fee and schedule
  • Coordinate and process change orders with the client and internal teams
  • Ensure approved scope changes are clearly communicated to execution teams
  • Coordinate project funding updates based on executed contracts
  • Establish and maintain project invoice schedules aligned with project milestones
  • Issue client invoices and review/approve consultant invoices
  • Track AR due dates and support timely collections
  • Maintain accurate project cost forecasting and support corrective actions to minimize profit loss
  • Save and organize all project financial documentation
  • Serve as a primary point of contact for internal teams, consultants, and clients
  • Lead or support internal workgroup meetings to review project status and deliverables
  • Facilitate meetings to resolve schedule, cost, or performance escalations
  • Prepare and distribute meeting agendas and minutes in a timely manner
  • Communicate project updates clearly and consistently to all stakeholders
  • Coordinate QA/QC reviews to confirm deliverables meet scope and quality requirements
  • Verify completeness of project deliverables prior to submission
  • Issue deliverables to client document control systems, including transmittals and supporting files
  • Review project performance metrics regularly
  • Document known project impacts and risks
  • Coordinate with supervisors to address performance or cost concerns
  • Identify opportunities for process improvement and additional client services
  • Perform other duties as assigned.
Qualifications:
  • Bachelor’s degree in Engineering, Architecture, Construction Management, or related field (or equivalent experience)
  • 1- 3 years of project management or project coordination experience (level dependent)
  • Experience managing schedules, budgets, consultants, and deliverables
  • Strong written and verbal communication skills
  • Proficiency with project management tools (Smart Sheet, BIM
    360, MS Project, or similar preferred)
  • Ability to manage multiple projects and priorities simultaneously
  • Client-facing experience and comfort leading meetings
  • Strong organizational and documentation skills
