About the RoleThe Business Operations Specialist is a highly organized, analytical, and proactive contributor who helps keep the company’s priorities, projects, and leadership routines moving forward. Reporting directly to the CEO, this role supports the day-to-day operating rhythm of the business by coordinating cross-functional work, preparing decision-ready information, tracking key initiatives, and helping ensure commitments are completed on time.
This is a hands-on role for someone who enjoys bringing structure to fast-moving work. You will partner with leaders across operations, finance, HR, commercial, and technology to organize information, improve workflows, maintain visibility into key performance indicators, and support special projects from planning through execution.
This position is on‑site in Phoenix, Arizona, 4–5 days per week. We work best when we are in the room together.
What You’ll DoSupport Business Operations and Leadership Cadence- Coordinate weekly leadership meetings, monthly business reviews, quarterly planning sessions, and other operating meetings, including agendas, prework, materials, notes, action items, and follow-up.
- Maintain clear project trackers, action registers, and decision logs to ensure owners, deadlines, and next steps are visible and completed.
- Prepare concise meeting summaries, presentations, and status updates for the CEO and leadership team.
- Help manage the calendar of business priorities, planning activities, leadership sessions, and key company milestones.
- Support cross-functional communication by following up with stakeholders, clarifying deliverables, and identifying items that need escalation or leadership decisions.
- Collect, organize, validate, and summarize data from HR, Finance, Operations, and other business systems.
- Maintain recurring weekly and monthly reporting packages that provide a clear view of key business metrics, project status, and performance trends.
- Build and update Excel-based trackers, scorecards, reports, and basic models to support operational decision-making.
- Identify data inconsistencies, missing information, and reporting risks; work with internal partners to improve data quality and reliability.
- Turn complex or incomplete information into clear, organized, decision-ready summaries.
- Support business and operational projects from kickoff through completion, including work planning, stakeholder coordination, timeline management, documentation, and follow-through.
- Assist with the company’s goal-setting and performance‑management rhythm, including tracking objectives, milestones, checkpoints, and retrospective actions.
- Document and improve recurring business processes, templates, workflows, and standard operating procedures.
- Coordinate activities related to HRIS, productivity tools, internal reporting, vendor administration, and business systems as assigned.
- Help identify practical opportunities to improve efficiency, reduce manual work, and make information easier for teams to access and use.
- Support the CEO with preparation for important internal and external meetings, including gathering information, drafting materials, and tracking follow-up commitments.
