Overview
The Safety Administrative Assistant plays a crucial operational role in ensuring the safety, compliance, and smooth day-to-day administration at a high-volume semiconductor plant construction site. Working directly with the Site Safety Team and trade partners, this role is responsible for managing worker safety onboarding, tracking site compliance metrics, maintaining critical safety records, and coordinating safety meetings and audits.
Given the fast-paced, high-hazard nature of a semiconductor mega-project, this position requires strong organizational skills, high attention to detail, and the ability to communicate effectively with diverse trade personnel, project engineers, and executive management.

Responsibilities- Administer daily safety orientation onboarding and badging documentation for all incoming personnel and subcontractor crews.
- Verify and maintain records of specialized trade certifications, high-hazard permits, and regulatory compliance documentation (e.g., OSHA, scaffolding, rigging, confined space).
- Maintain the master site roster, contractor directory, and emergency contact lists.
- Track and log daily safety inspection reports, Job Hazard Analyses (JHAs), Pre-Task Plans (PTPs), and safety observation cards.
- Maintain logs for site incidents, near‑misses, first-aid reports, and OSHA recordable cases in accordance with regulatory and corporate standards.
- Draft, archive, and distribute safety meeting minutes, safety bulletins, and toolbox talks to trade leads and management.
- Assist the Site Safety Manager in compiling daily, weekly, and monthly safety metrics and dashboards.
- Coordinate scheduling for internal and third‑party site safety audits, OSHA visits, and client inspections.
- Track corrective action items arising from safety audits to ensure timely resolution by trade partners.
- Manage inventory and order Personal Protective Equipment (PPE), safety signage, first‑aid station supplies, and testing equipment.
- Serve as the main point of contact for administrative inquiries within the Site Safety Office.
- Coordinate meeting logistics, room bookings, and training sessions for large‑scale safety stand‑downs and safety committee meetings.
Experience: 2–4+ years of administrative experience, preferably in construction, manufacturing, industrial engineering, or environmental safety.
- Education:
High School Diploma or equivalent required (Associate’s or Bachelor’s degree preferred). - Technical Proficiency:
High proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Teams). - Communication:
Excellent verbal and written communication skills with the ability to interact professionally with tradespeople, site leadership, and client representatives. - Detail Orientation:
High level of accuracy in data entry, record maintenance, and tracking regulatory documentation.
- Prior experience on a large-scale industrial or semiconductor/cleanroom construction project.
- Basic understanding of OSHA 10/30 standards or construction site hazard identification.
- Bilingual capabilities (English/Spanish or other prevalent regional languages) are a strong plus.
- Environment:
Split between a temporary field office/trailer and walking active construction site zones. Exposure to outdoor elements, construction noise, and typical jobsite conditions. - PPE:
Ability to wear required Personal Protective Equipment (hard hat, safety glasses, steel-toe boots, high-vis vest) when accessing field areas. - Physical Requirements:
Ability to sit or stand for extended periods, walk long distances across uneven terrain, and lift up to 25 lbs (office/safety supplies).
