Overview

Job Title: Virtual Event Producer (Virtual Learning & Government Meetings)

Rainmakers Strategic Solutions, LLC, a certified SBA 8(a) and Economically Disadvantaged Women-Owned Small Business (EDWOSB), is expanding capabilities in the government healthcare space to support an expanding portfolio of federal healthcare clients. We are looking for a Virtual Event Producer responsible for end-to-end production of high-quality virtual and hybrid events (webinars, trainings, educational sessions, stakeholder meetings, and focus groups). This role blends technical production, participant experience support, and session flow coordination to ensure every event is seamless, engaging, accessible, and aligned to the event’s goals.

The producer serves as the behind-the-scenes partner to facilitators, presenters, and project teams—anticipating needs, preventing issues, and troubleshooting in real time.

Key Responsibilities
  • Partner with event leads to clarify objectives, audience needs, run-of-show, engagement plan, and success measures
  • Build detailed production plans (timelines, roles, tech checks, and contingency plans) and coordinate speaker rehearsals
  • Create and distribute invitations and reminders; manage registration/RSVP tracking and targeted follow-ups
  • Develop clear participant-facing communications (access instructions, agendas, expectations, and support pathways)
  • Configure and run virtual platforms (Zoom/Teams and others as needed), including settings, security, roles, branding elements, and recordings
  • Live-produce sessions: manage audio/video, screen sharing, speaker handoffs, timing, and transitions
  • Run engagement tools and flows: chat/Q&A moderation, polls, reactions, and participant management
  • Set up and manage breakouts, including instructions, assignments, timekeeping, and smooth returns to the main session
  • Troubleshoot technical issues in real time while keeping the session moving and presenters focused
  • Support facilitators with virtual-learning best practices to increase participation and keep energy high in virtual and hybrid formats
  • Coordinate post-event deliverables (recordings, attendance, Q&A/poll exports, resources) and send follow-up communications
  • Capture lessons learned and update templates/playbooks to improve consistency, quality, and scalability
  • Other duties as required
Position Requirements Education

Bachelor's degree in Communications, Marketing, Event Management, Instructional Design/Learning, or a related field (or equivalent experience).

Relevant Knowledge
  • Excellent organizational and project management skills, with the ability to handle multiple events simultaneously
  • Strong written and verbal communication skills; ability to translate complex steps into clear guidance for speakers and participants
  • Demonstrated ability to stay calm under pressure and troubleshoot live issues quickly and discreetly
  • Experience partnering with facilitators/presenters and managing run-of-show, timing, and transitions
  • Working knowledge of virtual engagement techniques (polls, chat/Q&A, breakouts) and participant experience best practices
  • Availability to work flexible hours, including occasional evenings and weekends, as required by event schedules
Years of Experience
  • A minimum of 3 years' relevant experience producing virtual events, webinars, trainings, or hybrid sessions
  • Software Proficiency
  • Proficiency with Zoom and/or Microsoft Teams and comfort learning additional platforms as needed; strong computer literacy with experience using email, MS Office, Acrobat, and related business and communication tools
Certifications
  • InSync Training Master Virtual Producer (or equivalent virtual production training) - preferred
  • InSync Training Virtual Learning Expert (or equivalent training in virtual facilitation/design/production alignment) - preferred
  • SGMP Certified Government Meeting Professional (CGMP) (or intent to pursue) - preferred
