Position SummaryThe Customer Service Representative is responsible for responding to customer inquiries, creating and dispatching work orders, coordinating service activity, and communicating with internal departments, vendors, installers, drivers, and field personnel.
This position plays an important role in ensuring customer concerns are addressed accurately, professionally, and efficiently. You will maintain service records, track open requests, provide status updates, and help resolve issues that affect customers and daily business operations.
The ideal candidate is responsive, detail-oriented, and comfortable managing multiple priorities in a fast-paced office and manufacturing environment.
What You'll DoAs a Customer Service Representative, you will:
- Answer incoming customer phone calls and emails professionally and promptly.
- Respond to questions involving products, orders, deliveries, service requests, and scheduling.
- Create, dispatch, update, and track customer work orders.
- Coordinate service activity with internal departments, vendors, installers, drivers, and field personnel.
- Communicate work order details, scheduling updates, and customer requirements accurately.
- Maintain complete and current records of customer communications and service activity.
- Research customer concerns and work with internal teams to determine appropriate resolutions.
- Follow up on open work orders and outstanding customer issues.
- Escalate urgent, sensitive, or unresolved matters to the appropriate manager.
- Enter customer, order, and service information into ERP, CRM, or internal tracking systems.
- Verify information for accuracy before processing requests or communicating updates.
- Support order entry, administrative coordination, and inside sales activities as needed.
- Organize daily responsibilities while managing multiple customer requests.
- Build positive working relationships with customers and internal business partners.
- Follow established customer service procedures and company policies.
- Perform additional duties assigned by customer service or operations leadership.
Qualified candidates will have:
- A high school diploma or GED.
- At least three years of experience in customer service, administrative support, inside sales, service coordination, or a related field.
- Strong verbal and written communication skills.
- Professional phone and email etiquette.
- Strong organizational and time-management skills.
- The ability to manage multiple priorities in a fast-paced environment.
- Strong attention to detail and data-entry accuracy.
- The ability to address customer concerns professionally and calmly.
- Dependable attendance and consistent follow-through.
- The ability to work independently and collaboratively as part of a team.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel.
- The ability to learn new software, systems, and business processes.
