Overview

We’re hiring a Project Coordinator with experience supporting mechanical/HVAC construction projects
. This role is ideal for someone who thrives in a fast-paced environment, knows how mechanical scopes flow from submittals through closeout, and can keep field teams, vendors, and paperwork moving in lockstep.

You’ll support Project Managers and field leadership by coordinating documentation, procurement, schedules, and communication across multiple HVAC/mechanical projects.

Responsibilities
  • Support PMs with day-to-day coordination on mechanical/HVAC construction projects
  • Track and manage submittals, RFIs, shop drawings, and closeout documents
  • Coordinate material/equipment procurement (lead times, releases, expediting, deliveries)
  • Maintain project logs (RFI/submittal logs, equipment tracking, change order logs, meeting minutes)
  • Assist with schedule updates and look-ahead planning; flag risks early (long-lead items, access constraints, inspections)
  • Coordinate with subcontractors, vendors, and internal teams (sheet metal, piping, controls, TAB, insulation, etc.)
  • Support change management
    : gathering backup, distributing pricing requests, tracking approvals
  • Help drive QA/QC and commissioning readiness (checklists, pre-functional docs, punch lists)
  • Support closeout:
    as-builts, O&M manuals, warranty docs, turnover packages
Qualifications

Must-have

  • 2+ years of experience as a Project Coordinator / Project Engineer / Assistant PM supporting mechanical or HVAC projects
  • Ability to read and interpret mechanical plans/specs
    , submittals, and shop drawings
  • Strong organization skills: able to manage multiple deadlines, logs, and stakeholders
  • Solid communication skills with field teams, vendors, and clients
