Foundations Investment Advisors is an SEC-registered RIA headquartered in Phoenix that manages over $10 billion in assets for a national network of independent financial advisors. This is a salaried, non-commission back-office role responsible for owning the firm's advisory-fee billing function. You will prepare, calculate, review, and finalize billing cycles on schedule, maintain billing data integrity across accounts, and reconcile outputs using Excel.
We need someone who can learn quickly, work independently, and keep billing operations accurate and on time without a long ramp-up period.
Run the recurring billing cycle end-to-end, from preparation through final review. Maintain account-level billing settings, fee schedules, household grouping rules, and start/stop dates in accordance with approved changes. Identify anomalies before they become problems: outlier fees, missing schedules, incorrect billing groups, sudden AUM shifts, or terminated accounts still in cycle. Execute billing workflows in Orion, troubleshoot configuration issues, and coordinate fixes when data is wrong.
Reconcile billed amounts against underlying billable values in Excel and maintain clean tracking logs and audit trails. Coordinate across operations, advisor-facing teams, and leadership to confirm fee changes and resolve account issues. Document processes, build checklists, and standardize workflows so that billing is repeatable and resilient.
Foundations is not a traditional RIA. The firm's clients are financial advisors, not end investors. It provides a turnkey platform that combines institutional investment management, back-office operations, compliance infrastructure, and an integrated technology stack, enabling independent advisors to scale without selling their practices. The firm has grown to nearly $10 billion in AUM since 2015. The culture prioritizes accuracy, ownership, and people who follow through without being asked twice.

You are the kind of person who double-checks work before submitting it. You are comfortable working with large datasets in Excel — filters, pivot tables, lookups, and reconciliation workflows are part of your daily toolkit. Math is a strength. Percentages, tiered fee schedules, and pr orations make sense to you, and you can explain your calculations clearly when asked. You stay calm under deadline pressure because you plan ahead and prioritize effectively.
You document what you do so that your processes can survive without you.
This role is fully in-office, five days a week. It is not a fit if you need remote or hybrid flexibility. It is also not the right seat if accuracy is something you aim for rather than something you insist on, or if you need frequent direction to stay on track through a billing cycle.
Required- Track record of accuracy in a numbers-based, deadline-driven role
- Proficiency with Microsoft Excel for independent validation and reconciliation
- Comfort working with fee schedules, percentages, and financial calculations
- Self-directed work style with strong follow-through
- Full-time, in-office availability at the Phoenix location
- Discretion and integrity in handling sensitive financial data
- Familiarity with Orion, particularly billing workflows
- Prior experience with RIA advisory-fee billing or managed account fee schedules
- Background in wealth management operations, custodial operations, or portfolio accounting
