AboutThe Role
The Transaction Coordinator supports acquisition and resale transactions by managing Phase 1 documentation and due diligence review from file setup through handoff to closing. This role helps ensure documents are complete, accurate, organized, and routed correctly, while partnering with internal teams, title and escrow partners, and other stakeholders to identify issues early and keep files moving.
Responsibilities- Manage Phase 1 documentation and due diligence tasks from file setup through closing handoff.
- Collect, review, organize, upload, and maintain required transaction documents and checklists.
- Validate key transaction details across documents and systems, including parties, property details, pricing, and entity information.
- Complete pre-close and day-of-close reviews to identify issues and support timely corrections.
- Communicate with internal teams and external partners to request missing items, resolve issues, and keep files on track.
- Identify and elevate risks, discrepancies, and blockers early in the process.
- Maintain accurate notes, due dates, file activity, and follow-up in designated systems.
- Support high-volume workflows while meeting service levels and deadlines.
- Strong attention to detail and accuracy.
- Ability to manage multiple files, priorities, and deadlines in a high-volume environment.
- Strong written and verbal communication skills.
- Ability to spot inconsistencies, assess risk, and elevate issues early.
- Strong process discipline and follow-through with workflows, notes, and checklists.
- Comfort learning new systems, technology, and AI-enabled tools.
- Customer-minded approach and collaborative working style.
- Experience in real estate transaction coordination, title, escrow, mortgage, or closing operations.
- Working knowledge of transaction and closing documents, including title commitments, deeds, settlement statements, and related packages.
- Experience with lender funding, post-closing, or quality control support.
- Experience using systems such as Resware, Town, Help Scout, Zendesk, Google Sheets, Outlook, or Slack.
- Adaptability in fast-moving environments with changing workflows and priorities.
