Overview
Grants and Contracts Administrator – oversees grants and contracts for the Phoenix Children’s research and sponsored programs office. Responsible for assisting investigators and staff with the grant application process, negotiating federal and non-federal clinical trial budgets, and managing the grant lifecycle from pre-award through post-award administration, including proposal review and grant-related correspondence. With oversight, tracks post-award research portfolios with attention to financial solvency and post-award/financial management.
Requires collaboration with internal and external stakeholders.
- Assist faculty with research application development and submissions, including coordination with collaborating institutions. Ensure adherence to institutional policies and sponsor guidelines. Serve as liaison with external funding agency staff and collaborating institutions on grant-related administrative issues throughout proposal submission and award acceptance.
- Facilitate development, coordination, execution, and implementation of research contracts (e.g., MTA, DUA, sponsor- and grant-supported clinical trials). Evaluate contract terms, dollars, and conditions; negotiate with sponsors to finalize contracts and budgets.
- Collaborate with team to develop proposal sections not specific to investigator expertise (budget narrative, facilities narrative, inclusion of minorities, protection of human subjects, etc.).
- Review and reconcile research financial reports to ensure appropriate cost and revenue allocations and compliance with federal, institutional, and sponsor requirements. Coordinate post-award financial grants management, including communication with external sponsors, budget reallocations, reporting, and carry forwards.
- Monitor research spending against budget and escalate variances as needed.
- Assist faculty with managing research deliverables such as progress reports and sponsor inquiries.
- Assist with the annual research budget and provide information to support strategic decision making.
- Help develop policies and procedures related to submission and management of grant awards.
- Performs miscellaneous job-related duties as requested.
- Education – Bachelor’s degree or equivalent combination of education and experience. Master’s degree in Health, Education, Business, or related field preferred.
- Experience – 1 year of experience in research application coordination and submissions (required); 1 year in finance, accounting, and/or related area (required); experience in clinical trial management and analysis including contracting, budgeting, forecasting, and accounting in healthcare or a research environment (required). Preferred: experience with a nonprofit or academic research institute; experience working with federal and foundation grants.
- Special Skills – Advanced knowledge of Microsoft Word and Excel; excellent communication and customer service skills; excellent organization, coordination and project management skills (all required).
- Additional Requirements – Certified Research Administrator (CRA) preferred.
