Responsibilities

The Specialist
-Perioperative Scheduling serves as the operational control point between workforce scheduling (staff coverage), surgical scheduling (case volume and timing), and timekeeping/payroll processes. This role ensures alignment between planned staffing, real-time surgical operations, and actual worked time.
Embedded within perioperative operations and aligned to Network Operations, the Specialist proactively validates staffing against surgical demand, coordinates real-time adjustments, and assists leaders in timekeeping activities.

Essential Functions
  • Scheduling and Staffing Alignment:
    Partner with perioperative supervisors to ensure workforce schedules align with anticipated surgical volume and case demand
    Review surgical schedules in coordination with surgery schedulers to validate coverage, skill mix, and operational readiness
    Identify and elevate staffing gaps or inefficiencies prior to operational impact
  • Real-Time Operational Integration:
    Monitor daily surgical schedule changes (add-ons, cancellations, delays) and assess impact on staffing and timekeeping
    Serve as coordination point between staff, supervisors/charge nurses, and surgical schedulers
    Ensure alignment between planned schedules, actual operations, and workforce deployment
  • Schedule-to-Timekeeping Reconciliation:
    Reconcile workforce schedules, surgical activity, and actual worked time on a daily and payroll-cycle basis
    Monitors attendance/tardiness of staff, provide tutorial assistance in proper time clock utilization and timecard responsibilities, monitors licensure/education/certifications, review/edit timecards, notify leadership of timecard revisions.
  • Staff and Supervisor Support:
    Work directly with staff to resolve time entry discrepancies and ensure accurate documentation
    Prepare and organize timecard inputs for supervisors
    Eliminate the need for supervisors to manually reconcile schedules or chase missing information
    Provide guidance on timekeeping alignment without assuming decision-making authority
  • Proactive Workforce Planning:
    Analyze future schedules (daily, weekly, and scheduling cycles) to identify anticipated staffing gaps
    Partner with supervisors to proactively:
    -Engage PRN staff
    -Utilize float pool resources
    -Rebalance schedules in advance
    Reduce reliance on reactive staffing decisions and premium labor
  • Labor Insights and Continuous Improvement:
    Monitor trends in:
    -Overtime and premium pay utilization
    -Staffing inefficiencies
    -Recurring timekeeping errors
    Provide actionable insights to perioperative leadership and Network Operations
  • Governance and Standardization:
    Execute scheduling-to-pay processes aligned with Honor Health policies and standards
    Ensure consistency across campuses
    Escalate unresolved discrepancies and policy interpretation questions through defined channels
Education
  • High School Diploma Required
  • Associates Preferred or
  • Bachelors Preferred
Experience
  • 3 years, of healthcare scheduling, operations coordination, or perioperative support experience Required
  • Experience in perioperative services (OR, PACU, procedural areas) strongly Preferred
  • Experience with Labor Workx, Epic OpTime, or similar systems Preferred
License and Certifications
