Surgery Scheduler / Patient Procedure Coordinator

Location: Peoria & Phoenix, Arizona
Position: Full-Time

About the Position

We are looking for an experienced, personable, and highly accountable Surgery Scheduler / Patient Procedure Coordinator to join our growing medical practice.

This is not simply a scheduling position.

We are looking for someone who takes ownership of the patient journey from the time a procedure is ordered until the procedure is successfully scheduled and completed.

The right person is warm and reassuring with patients, confident discussing financial responsibility, highly organized, and persistent about following up. You should be someone who doesn't like seeing things fall through the cracks—and who takes personal responsibility for getting them resolved.

What You'll Do

You will coordinate the surgical/procedure scheduling process, including:

  • Receive and manage procedure orders from providers
  • Contact patients promptly to coordinate scheduling
  • Explain the scheduling process clearly and confidently
  • Coordinate procedure dates with patients, providers, facilities, and clinical staff
  • Verify insurance information and applicable authorization requirements
  • Work closely with the authorization team to ensure procedures are ready to proceed
  • Communicate estimated patient financial responsibility and confidently discuss payment expectations
  • Answer patient questions regarding scheduling, preparation, and next steps
  • Provide and review pre-procedure instructions
  • Track patients who are not yet scheduled and proactively follow up
  • Document patient communication accurately in the EMR
  • Monitor open procedure orders and work queues to ensure nothing falls through the cracks
  • Coordinate necessary documentation with hospitals and ambulatory surgery centers
  • Confirm procedures and help resolve last-minute scheduling issues
  • Communicate effectively with physicians, medical assistants, authorization staff, front-office staff, and leadership

Experience

Preferred:

  • 2+ years of medical-office experience
  • Previous surgery or procedure scheduling experience
  • Experience working with insurance verification and/or prior authorization
  • Experience discussing patient financial responsibility or collecting patient balances
  • Experience using an electronic medical record system
  • eClinical

    Works experience is a plus
