Pongratz Orthotics & Prosthetics has proudly served Arizona patients for decades by providing exceptional orthotic and prosthetic care. We are seeking a compassionate, detail-oriented Administrative Assistant to support our growing Burn Garment Program. This position plays a critical role in helping burn survivors receive the medically necessary compression garments they need throughout their recovery journey.

This is much more than an administrative position you will be an important advocate behind the scenes, ensuring patients receive timely care by coordinating insurance benefits, obtaining authorizations, and managing essential medical documentation.

Position Summary

The Administrative Assistant is responsible for managing the administrative workflow of our Burn Garment Program. This includes verifying insurance benefits, obtaining prior authorizations, requesting and reviewing medical documentation, communicating with healthcare providers and insurance companies, and working closely with our clinical team to ensure patients receive care without unnecessary delays.

  • Verify patient insurance eligibility and benefits.
  • Obtain and track prior authorizations from commercial insurance, Medicare Advantage, Medicaid, and other payers.
  • Request, review, and organize physician documentation and medical records required for insurance approval.
  • Maintain accurate documentation within the electronic medical record (EMR).
  • Communicate professionally with physicians' offices, hospitals, case managers, insurance representatives, and patients.
  • Monitor authorization status and follow up to prevent delays in patient care.
  • Maintain confidentiality while complying with HIPAA regulations.
  • Assist patients by answering questions regarding the insurance process and required documentation.
  • Work collaboratively with clinicians, billing staff, and other departments to ensure seamless patient care.
  • Perform additional administrative duties as assigned.
Qualifications
  • High school diploma or equivalent required.
  • Previous medical office, healthcare administration, insurance verification, or authorization experience preferred.
  • Experience with EMR systems and medical documentation preferred.
  • Knowledge of medical terminology strongly preferred.
  • Excellent organizational skills and exceptional attention to detail.
  • Strong written and verbal communication skills.
  • Ability to prioritize multiple tasks in a fast-paced healthcare environment.
  • Proficient with Microsoft Office and standard computer applications.
  • Positive attitude with a compassionate, patient-centered approach.
