Job Summary:
The employee in this position (Program Project Specialist
2) will, under general direction, function as an advanced professional and administrative work assistant to State and Local Agency WIC Staff and/or community organizations in a variety of programs in the area of assignment; and perform related work/tasks/functions as required. Examples of duties include the following:
Manages in conjunction with the WIC Service Desk and WIC Nutrition Services to enable/disable user access to the Bureau of Nutrition and Physical Activity Ordering System. On a monthly basis, using information requested from the WIC Service Desk, prepares reports for each of the WIC Local Agencies to notify them of participants that are due to have their babies in the upcoming month.
In addition, setting up text messages alerts to remind the participants to call WIC after they have delivered and provide a resource for Postpartum Mental Health Services. Manages the logistics of the WIC New Employee Training Cohort. This includes developing and managing registration, sending confirmation of registration with joining link, guidebooks, and resources needed throughout the day, answering questions related to the logistics of each day, sending a follow-up after each session, and as needed developing/distributing evaluation materials Working with New Employee Training Cohort facilitators to keep presentations, resources and materials current as well as manage communications day to day with facilitators to ensure smooth transition from one session to another.
In conjunction with the WIC Breastfeeding Coordinator, manage registrations and communications with professionals interested in attending the semi-annual lactation event. Following the established protocol, reviews and approves/disapproves/adjusts access to the WIC Training Team Training Folder as well as workgroup lists for Breastfeeding, the Trainer Advisory Board, and Registered Dietitians. Responds to requests to participate in the First Feed Education and Support group directly from the participants as well as from reports generated from the WIC MIS i.e.,HANDS system.
This includes using templates for direct texting as well as managing the messaging to the groups within the texting platform. Generates, evaluates, and distributes Breast Pump Reports for each of the WIC local agencies. This includes identifying current available inventory, problem solving returns to the BNPA warehouse, providing follow-up to pumps that are out of contract and updating the WIC MIS i.e., HANDS system to reflect changes.
