This role is 4 days remote and 1 day onsite in Phoenix, AZ. 70% of the role is benefits with 30% being HR Administration
Benefits Administration- Administer and maintain the benefits platform within the HRIS system, ensuring all employee and dependent information is accurate and up to date.
- Respond to employee inquiries regarding eligibility, life events, enrollments, and benefit-related system issues.
- Reconcile monthly insurance invoices and coordinate with carriers to resolve billing discrepancies and obtain credits when necessary.
- Track benefit terminations and confirm cancellations are processed timely and accurately.
- Prepare and audit bi-weekly payroll deduction reports; communicate premium adjustments to Payroll as needed.
- Review and audit EDI feeds for accuracy; manually update carrier systems to ensure correct benefit elections and dependent data.
- Support and coordinate the Annual Open Enrollment process in partnership with the HR Director, including:
- Drafting communications and informational materials
- Assisting with enrollment platform updates
- Coordinating informational meetings
- Preparing enrollment summaries and post-enrollment reports
- Ensure Affordable Care Act (ACA) compliance, including ongoing data audits and preparation of 1094/1095 reporting.
- Prepare monthly benefits reporting for leadership meetings.
- Manage leave of absence requests in compliance with FMLA and applicable state regulations.
- Determine eligibility and communicate with employees, managers, medical providers, and payroll.
- Ensure leave entries are accurately reflected in HRIS and payroll systems.
- Coordinate return-to-work processes in alignment with company policy.
- Serve as liaison to Risk Management for Workers’ Compensation cases:
- Provide wage documentation as requested.
- Track leave status and system updates.
- Draft required correspondence for modified duty, extended leave, and return-to-work notices.
- Administer ADA accommodation requests:
- Engage in the interactive process with managers and operations.
- Prepare compliant documentation and certified letters as required.
- Conduct annual training for managers regarding leave policies, paid sick time usage, reporting procedures, and return-to-work guidelines.
- Assist with onboarding compliance tracking and training reporting.
- Monitor and track Work Opportunity Tax Credit (WOTC) documentation and reporting.
- Prepare and submit required regulatory filings, including annual Form 720 excise tax reporting.
- Process Medical Support Notices and ensure required insurance enrollments are completed in compliance with legal requirements.
- Provide additional HR administrative support as assigned by the Director of Human Resources.
- 3–5 years of experience in Human Resources or Benefits Administration.
- Experience in a multi-location or 1,000+ employee organization preferred.
Skills:
- Working knowledge of ACA, FMLA, ADA, and Workers’ Compensation regulations.
- Strong attention to detail with experience in auditing and reconciliation.
- Proficient in HRIS systems and Microsoft Office Suite (advanced Excel preferred).
- Strong written and verbal communication skills; bilingual Spanish is a plus.
- Ability to maintain confidentiality and exercise sound judgment.
- Self-starter with strong organizational and problem-solving skills.
