** Purpose within the Organization
** Under general direction, the Analyst Assistant supports IT Digital Systems by monitoring software assets, assisting with software renewal policies, and reviewing software-related purchases submitted through Coupa (the organization’s procurement software). This role helps ensure compliance with university standards, accurate asset tracking, and documentation for the Project Management Office.
** Responsibilities Related to Purpose
*** Maintain accurate records of software licenses, subscriptions, and renewals by utilizing the asset management software and procurement software
* Track software purchase requests and ensure alignment with IT Security and Procurement renewal policies
* Review Coupa purchase requisitions to verify correct categorization, documentation, and compliance
* Monitor upcoming software renewals and notify stakeholders as outlined in internal procedures
* Assist with maintaining the software asset inventory and updating system records regularly
* Collaborate with IT teams and requestors to resolve discrepancies or gather missing information for purchase reconciliation
* Assist with hardware inventory operations as needed
* Support process improvements related to software asset management and procurement workflows
* Other duties as assigned

** Qualifications
* ** Understanding of basic asset management or procurement processes
* Strong attention to detail and organizational skills
* Ability to interpret and follow policy guidelines
* Strong communication skills – verbal and written
* Proficient with MS Office Suite
* Experience with procurement systems or software asset management tools preferred, but not required
