Position Overview: We are currently seeking an Asset Coordinator to join our Phoenix Team. The Asset Coordinator plays a critical role in supporting the coordination, tracking, documentation, and management of rental equipment, fleet vehicles, power tools, and company assets across multiple Summit Line Construction locations. This position works closely with the Fleet Manager, project teams, vendors, warehouse personnel, and field operations to ensure equipment is properly inventoried, maintained, tracked, and available to support project needs in a timely and cost-effective manner.
The Asset Coordinator will be the detail-oriented backbone of our equipment management operations, responsible for maintaining accurate records in Excel-based or other tracking systems, coordinating equipment transfers between sites, and ensuring nothing falls through the cracks.
Key Responsibilities:
- Asset Inventory and Tracking
- Maintain accurate and up-to-date asset records in tracking system, including rental equipment, fleet vehicles, power tools, and specialty equipment across all company locations.
- Track asset assignments, job numbers, locations, transfer history, rental status, and return needs across multiple sites.
- Conduct regular physical inventory audits to verify equipment location, condition, and status; identify and resolve discrepancies promptly.
- Monitor rental agreements, expiration dates, and off-rent confirmations to ensure timely returns and cost control.
- Implement and maintain Excel-based tracking spreadsheets to supplement Equipment 360 data, flagging trends, utilization gaps, and cost concerns.
- Maintain detailed records of asset maintenance, repairs, servicing, and compliance documentation.
- Equipment Coordination and Logistics
- Coordinate equipment delivery, pickup, staging, transfer, and return logistics with vendors, transportation teams, warehouse staff, and field operations.
- Process equipment requests from project managers, foremen, field supervisors, and operations teams; document and assign equipment to jobs.
- Work with warehouse and yard personnel to ensure equipment is properly stored, secured, organized for easy access, and ready for deployment.
- Coordinate transfers of equipment between job sites and company locations; ensure proper documentation and system updates for all movements.
- Travel to multiple job sites (up to 50% of the time) to conduct equipment counts, verify locations, audit conditions, and resolve on-site logistics issues.
- Support the rental sourcing process by coordinating with vendors, comparing quotes, and ensuring rental orders align with company standards and approvals.
- Vendor and Internal Communication
- Communicate with rental companies, equipment vendors, and logistics partners to resolve equipment availability issues, delivery delays, breakdowns, billing discrepancies, and service concerns.
- Maintain strong relationships with all internal stakeholders (Fleet Manager, project teams, warehouse, yard, shop personnel, and field operations) to ensure seamless asset management and timely problem-solving.
- Provide clear, accurate documentation and system updates to ensure all teams have current information on equipment status, location, and availability.
- Address equipment readiness concerns, safety compliance issues, and maintenance needs with appropriate teams.
- Data Management, Reporting, and Compliance
- Update tracking systems to maintain current and accurate asset information.
- Support monthly asset reporting, rental utilization reviews, equipment status updates, and cost tracking efforts to identify savings and efficiency improvements.
