Summary of Position Functions

The Marketing Specialist II is responsible for coordinating, developing, and delivering high‑quality proposals, qualification packages, grant applications, and other business development materials that support the company's growth objectives. This position manages the proposal process from opportunity identification through final submission while collaborating with subject matter experts, sales professionals, and operational teams.

In addition to proposal management, the Marketing Specialist supports a variety of marketing initiatives, including event coordination, trade show participation, lead generation activities, content development, and the maintenance of marketing resources and brand assets.

Essential Position Functions
  • Manages the proposal process from opportunity assessment through final submission.
  • Develops, writes, edits, formats, and assembles responses for Requests for Proposals (RFPs), Requests for Qualifications (RFQs), Requests for Information (RFIs), grant applications, and other procurement documents.
  • Creates proposal schedules, establishes internal deadlines, and coordinates deliverables from multiple contributors.
  • Reviews solicitation documents and client requirements to ensure complete and compliant submissions.
  • Researches client organizations, project opportunities, procurement requirements, and industry trends to support proposal development.
  • Coordinates and compiles technical, financial, legal, insurance, bonding, and administrative documentation required for submissions.
  • Prepares, packages, and submits electronic and hard‑copy proposals in accordance with client specifications.
  • Maintains proposal content libraries, templates, resumes, case studies, reference materials, graphics, project photos, and other business development resources.
  • Supports continuous improvement of proposal processes, tools, and best practices.
  • Tracks proposal metrics, opportunity pipelines, marketing activities, and business development data.
  • Assists in planning, coordinating, and executing trade shows, conferences, client events, and company‑sponsored programs.
  • Represents the company at industry events, conferences, and trade shows.
  • Manages event logistics, exhibit materials, promotional items, and booth setup.
  • Engages with attendees, generates qualified leads, and supports follow‑up activities with the sales team.
  • Tracks event participation, lead generation results, and return on investment metrics.
  • Maintains organized marketing and proposal files, databases, and document management systems.
  • Supports cross‑functional collaboration among marketing, sales, operations, and leadership teams.
  • Performs other marketing and business development duties as assigned.

Education and Qualifications
  • Bachelor’s degree (B.A.) from a four‑year college or university; and five years related experience and/or training; or equivalent combination of education and experience.
  • Three to five (3‑5) years of experience and knowledge of the A|E|C industries, specifically Energy Service Companies (ESCOs), is highly preferred.
  • Experience with AI such as ChatGPT, Claude, and/or Gemini, and proposal management systems such as Qorus Docs or Qvidian is a plus.
