Summary of Position FunctionsThe Marketing Specialist II is responsible for coordinating, developing, and delivering high-quality proposals, qualification packages, grant applications, and other business development materials that support the company's growth objectives. This position manages the proposal process from opportunity identification through final submission while collaborating with subject matter experts, sales professionals, and operational teams.
In addition to proposal management, the Marketing Specialist supports a variety of marketing initiatives, including event coordination, trade show participation, lead generation activities, content development, and the maintenance of marketing resources and brand assets.
Essential Position Functions- Manage the proposal process from opportunity assessment through final submission.
- Develop, write, edit, format, and assemble responses for RFPs, RFQs, RFIs, grant applications, and other procurement documents.
- Create proposal schedules, establish internal deadlines, and coordinate deliverables from multiple contributors.
- Review solicitation documents and client requirements to ensure complete and compliant submissions.
- Research client organizations, project opportunities, procurement requirements, and industry trends to support proposal development.
- Coordinate and compile technical, financial, legal, insurance, bonding, and administrative documentation required for submissions.
- Prepare, package, and submit electronic and hard‑copy proposals in accordance with client specifications.
- Maintain proposal content libraries, templates, resumes, case studies, reference materials, graphics, project photos, and other business development resources.
- Support continuous improvement of proposal processes, tools, and best practices.
- Track proposal metrics, opportunity pipelines, marketing activities, and business development data.
- Assist in planning, coordinating, and executing trade shows, conferences, client events, and company‑sponsored programs.
- Represent the company at industry events, conferences, and trade shows.
- Manage event logistics, exhibit materials, promotional items, and booth setup.
- Engage with attendees, generate qualified leads, and support follow‑up activities with the sales team.
- Track event participation, lead generation results, and return on investment metrics.
- Maintain organized marketing and proposal files, databases, and document management systems.
- Support cross‑functional collaboration among marketing, sales, operations, and leadership teams.
- Perform other marketing and business development duties as assigned.
