Senior Marketing and Proposal Specialist

We are seeking an experienced, highly independent Senior Marketing and Proposal Specialist to drive our marketing and communications efforts within a close-knit firm of 40 people. Working in a small, "all-hands-on-deck" department under another highly experienced AEC marketer, you will support the RFQ/RFP response process for public works projects alongside other marketing duties.

This role requires a detail-oriented, creative self-starter who excels in a fast-paced, deadline-driven environment. With direct support from firm principals and marketing oversight personnel, you will manage multiple priorities, craft compelling proposals, and touch many facets of our business.

• Coordinate, write, edit, and design highly graphic, professional SOQ and proposal documents compliant with RFQ/RFP requirements. Meet all internal and external deadlines.
• Coordinate and support the shortlist interview process, including designing presentations, collaborating with external partner firms, and coaching technical staff on interview best practices.
• Write, design, and manage internal firm collateral (brochures, qualifications books, templates) while maintaining J2 Brand Standards.
• Maintain the internal J2 database (project sheets, resumes, firm info).
• Handle sub-consultant coordination and tasks for non-prime projects.
• Coordinate award submittals for J2 Projects.
• Track project opportunities and communicate with internal teams and external teaming partners accordingly.
• Coordinate and attend industry events, trade shows, and conferences.
• Assist with social media strategies and execution.
• Contribute design, writing, editing, or other assistance on billable client projects as needed.
• Operate in a collaborative, team-oriented environment.

• 6–12+ years of marketing experience within the A/E/C industry, specifically responding to RFQs and RFPs.
• Bachelor’s degree in Marketing, Communications, Journalism, or related field (or equivalent professional experience).
• High proficiency in Adobe Creative Suite (InDesign and Illustrator required) and Microsoft Office Suite (Teams, Outlook, PowerPoint, Word, Excel).
• Strong graphic design, layout, and typography skills.
• Strong writing, editing and, proofreading abilities. Technical writing experience is a plus.
• Outstanding organizational and time management skills with the ability to manage multiple concurrent deadlines with minimal supervision.
• Strong ownership of work and attention-to-detail.
• Strong written and verbal communication skills and ability to collaborate well with a wide range of personnel (firm owners, marketing personnel, internal technical staff, and external partners and clients).

$70,000-$90,000 based on experience and skill level.
