OVERVIEWThe QA Verification Specialist plays a critical role in ensuring the accuracy, compliance, and integrity of verification results reported to clients. This position is responsible for conducting quality assurance reviews of verification data—including employment, education, licensing, references, and public records—to ensure all information is accurate, complete, and compliant with Federal, State, and local regulations.
This role requires a high level of attention to detail, sound judgment, and the ability to manage confidential, time-sensitive information across multiple systems. The QA Verification Specialist verifies that supporting documentation and research findings are correctly reflected in proprietary systems, identifies discrepancies or missing information, and ensures a zero-error standard on all client-facing reports. Collaboration with Verification, Public Records, and cross-functional teams is essential to maintaining data integrity and continuously improving verification and quality processes.
KEY RESPONSIBILITIES Quality Assurance & Compliance- Review and verify the verification of record results for accuracy, completeness, and compliance with Federal, State, and local laws.
- Ensure all verification data (employment, education, licensing, references, and criminal records) is documented and reported in accordance with legal and company standards.
- Maintain a zero-error standard for all client reports and finalized verification results.
- Identify compliance risks and elevate concerns as appropriate.
- Conduct quality reviews of verification activities completed via phone, internet, and database research.
- Evaluate and validate supporting documentation, ensuring alignment between source documents and system entries.
- Identify, investigate, and resolve discrepancies, unclear information, or missing data prior to report completion.
- Ensure time-sensitive verifications are completed accurately and within required service-level agreements.
- Manage and update records across multiple databases and records management tools.
- Accurately review and confirm data entered into proprietary systems, including dates of employment, graduation dates, degrees achieved, licenses, and credentials.
- Monitor system activity to ensure proper storage, security, and retrieval of sensitive information.
- Work closely with Verification Specialists, Public Records teams, and other internal stakeholders to support efficient workflows and high-quality outcomes.
- Communicate effectively with internal teams to clarify verification findings or request additional information.
- Assist in developing and refining policies, procedures, and training related to records management and quality assurance.
- Provide clear documentation, feedback, and trend insights related to quality issues to support continuous improvement.
- Safeguard sensitive and confidential applicant and client information at all times.
- Adhere strictly to organizational policies, industry regulations, and privacy standards.
- Promote a culture of accountability, accuracy, and compliance across all verification and QA processes.
- Effectively manage workload to meet daily, weekly, and monthly quality and productivity goals.
- Maintain an organized follow-up process to ensure timely resolution of outstanding or escalated verifications.
