Overview
The Supplier Compliance & Management Specialist is responsible for coordinating and administering supplier compliance programs that support the quality, safety, regulatory, and certification requirements of Sprouts Brand products. This role serves as the operational backbone of the supplier quality management process by maintaining supplier documentation, monitoring compliance activities, supporting certification programs, tracking supplier performance metrics, and ensuring audit readiness. Working cross-functionally with Quality Assurance, Product Development, Category Management, Regulatory Affairs, and external suppliers, the Specialist ensures supplier records, certifications, corrective actions, and performance data are accurate, current, and aligned with company standards.
This position focuses on execution, process coordination, issue resolution, and continuous improvement of supplier compliance systems.
The role reports to our Store Support Office in Phoenix, AZ, with a hybrid work arrangement requiring in-office presence Tuesday through Thursday.
Overview Of Responsibilities- Manage and maintain supplier compliance documentation, including Certificates of Analysis (COAs), product specifications, certifications, supplier guarantees, quality agreements, and related quality records.
- Administer supplier onboarding and qualification processes by collecting, reviewing, validating, and tracking required supplier documentation.
- Monitor supplier document expiration dates and renewal requirements, proactively communicating with suppliers to ensure continuous compliance.
- Maintain audit‑ready supplier files and documentation systems that support internal audits, regulatory reviews, customer inquiries, and certification requirements this includes responding and following up on all customer relations queries for Sprouts Brand related items.
- Coordinate supplier qualification and requalification activities in partnership with Quality, Product Development, and Regulatory teams.
- Administer certification programs including Non‑GMO Project, Regenerative Organic Certified (ROC), Leaping Bunny, and other applicable certifications by managing documentation, submissions, and renewals.
- Track supplier corrective actions and CAPA activities, monitor progress toward resolution, and elevate overdue actions to appropriate stakeholders.
- Maintain supplier performance scorecards and key performance indicator (KPI) tracking tools, ensuring timely and accurate reporting.
- Develop and distribute recurring supplier compliance, certification, and quality performance reports and dashboards to support business decision‑making.
- Monitor supplier performance and compliance trends, identifying potential risks, gaps, or emerging issues and communicating findings to leadership.
- Support supplier business reviews by compiling performance data, compliance metrics, and quality‑related insights.
- Serve as a key system administrator for supplier quality and compliance records, identifying opportunities to improve data integrity, process efficiency, and reporting capabilities.
- Bachelor's degree in Food Science, Quality Assurance, Supply Chain, Business, Biology, Chemistry, or a related field; or equivalent combination of education and experience.
- 2-4 years of experience in supplier management, quality assurance, regulatory compliance, food safety, product development support, supply chain compliance, or a related function.
- Experience managing documentation, reporting, compliance programs, or quality systems in a regulated environment.
- Demonstrated ability to coordinate cross-functional activities and manage detailed administrative processes.
- Working knowledge of supplier quality management, compliance programs, food safety, regulatory requirements, or quality assurance practices.
- Strong organizational skills with the ability to manage multiple priorities, timelines, and documentation requirements simultaneously.
- Effective problem-solving skills with the ability to independently resolve standard process and compliance issues.
