Job Summary

Under the supervision of the Division Administrator(s), the Associate Division Administrator (ADA) assists with departmental operations, financial analysis, budgeting, forecasting, payroll, accounting, and database management.

Qualifications
  • Bachelor’s Degree in Business, Health Care Administration or related field required.
  • High school diploma required.
  • Three years of progressive experience in a setting requiring accounting, financial and business operations knowledge.
  • Previous healthcare experience strongly preferred.
Essential Functions
  • Research, coordinate, prepare, and generate reports such as monthly variance analysis, charge audits, dashboards, revenue reconciliations, and budget preparation.
  • Administer and support management reporting by maintaining databases for Accounts Receivable, Accounts Payable, Payroll, Charges, Payments, Schedules, RVUs, Staffing, Residency, Research and Grants, and MIHS contractual FTE requirements.
  • Assist in identifying and proposing resolution of operational and/or budgetary issues.
  • Communicate effectively with Division Administrators, Chairmen, Provider Staff, and Executive Leadership.
  • Assist with preparing and monitoring the semi‑annual operating budget.
  • Support Division Administrators with new hire, status change, and termination processing in DMG HR and Payroll systems.
  • Submit accurate and timely payroll information and reconcile PTO, PST, CME.
  • Perform administrative duties to support financial, operational, and business goals.
  • Continuously monitor divisional operations and recommend changes.
  • Participate in monitoring and enforcement of organizational policies.
  • Serve as a resource for administrative issues related to human resources, credentialing, contract compliance, and accounting.
  • Respond promptly to operational issues that impede provider or staff access to work resources.
  • Other duties as assigned.

  • Type minimum 40 wpm.
  • Excellent communication, writing, and organizational skills.
  • Proficient in MS Word, Excel, PowerPoint, Outlook.
  • Maintain effective working relationships with Executive Leadership and staff.

  • Apply judgment, problem‑solving, critical thinking, and attentiveness to detail.
  • Establish priorities and manage time effectively; strong work ethic and leadership abilities.
  • Work independently and as part of a team.
  • Maintain a valid driver’s license and good motor vehicle record.
  • Maintain vehicle insurance coverage per state minimum limits.
  • Exhibit computer proficiency in Microsoft Office Suite.

  • Understand and maintain compliance with HIPAA laws and regulations.
  • Maintain compliance with DMG policies and procedures.
