Purpose Statement

The job of Transportation Dispatcher Assistant supports the educational process, with specific responsibilities for coordinating and assigning drivers to regularly scheduled routes, special excursions, and field trips; processing requests pertaining to routine and emergency issues; maintaining department records in accordance with mandated requirements; and coordinating assigned projects.

This job reports to the Director of Transportation.

Essential Functions
  • Assist in planning bus routes and schedules to ensure all routes are covered.
  • Collaborate with contracted charter buses for additional transportation needs (e.g., field trips, athletic events) to determine driver and equipment requirements and ensure adequate transportation coverage.
  • Coordinate buses and drivers for extracurricular activities to ensure transportation.
  • Dispatch drivers to meet schedule demands.
  • Inform school personnel and parents of practices, rules, regulations, laws, and procedures to provide information for follow‑up action and proper procedures.
  • Maintain a variety of manual and electronic documents, files, and records for documenting activities, providing reliable information, and complying with administrative requirements.
  • Operate a two‑way radio per FCC regulations for gathering and conveying information.
  • Participate in unit meetings, in‑service training, workshops, etc., as required to convey and gather information needed to perform job functions.
  • Process various materials (e.g., field trip requests, route changes) to update and distribute information, authorizing action and complying with mandated requirements.
  • Respond to inquiries from students, parents, and staff to provide necessary information, direction, and resolution.
  • Schedule work assignments for bus drivers and bus aides to ensure the completion of transportation routes safely and in accordance with administrative guidelines and legal requirements.
Other Functions

Perform other related duties as assigned to ensure the efficient and effective functioning of the work unit.

Job Requirements:

Minimum Qualifications

Skills, Knowledge, and Abilities

  • Operate two‑way and county emergency radio; operate standard office equipment and relevant software; perform standard clerical procedures; prepare and maintain accurate records.
  • Basic math (fractions, percents, ratios); understand written procedures; write routine documents; speak clearly; solve practical problems; knowledge of department policies, procedures, office practices, grammar, punctuation, first aid, and CPR.
  • Ability to schedule activities, meetings, and events; gather, collate, classify data; consider multiple factors when using equipment; work independently with others; work with a wide diversity of individuals; analyze issues and create action plans; adapt to changing work priorities; meet deadlines and schedules; set priorities; work with detailed information; handle frequent interruptions; maintain good rapport with employees, students, parents, and the public.

Experience: Job‑related experience desired.

Education: High school diploma or equivalent.
