Logistics Coordinator / Warehouse Administrative Assistant
Job Summary
We are seeking a detail-oriented and customer-focused Logistics Coordinator / Warehouse Administrative Assistant to support daily warehouse and distribution operations. This position serves as a key point of contact between customers, carriers, drivers, and internal teams to ensure efficient scheduling, accurate documentation, inventory control, and smooth operational workflow.
The ideal candidate will have experience in a warehouse, distribution, or logistics office environment and possess strong organizational, communication, and problem-solving skills.
Key Responsibilities
- Communicate with customers and carriers by phone, email, and in person to schedule and manage orders.
- Collaborate with team members to achieve operational goals and meet customer expectations.
- Check drivers in and out while following all security procedures and company protocols.
- Maintain accurate records and documentation related to shipments and deliveries.
- Prepare daily operational reports for supervisors and management.
- Verify delivery orders and bills of lading for accuracy and completeness.
- Update and maintain accurate information within the SAP system.
- Support cross-functional office operations as needed.
- Assist with warehouse quality checks when required.
- Assist with scanning and inventory-related tasks on the warehouse floor.
- Monitor inventory reports and notify management of discrepancies or concerns.
- Follow all company safety policies and procedures.
- Complete all assigned training courses and certifications.
- Perform additional duties and special projects as assigned.
- High School Diploma or equivalent required.
- Minimum of 2 years of experience in an office, warehouse, logistics, or distribution center environment.
- Experience supporting daily operational activities and coordinating workflow.
- Ability to add, subtract, multiply, and divide using standard units of measure.
- Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
- Experience with SAP or other warehouse management systems preferred.
- Flexibility to work evenings, weekends, holidays, and overtime as needed.
- Strong attention to detail, particularly regarding inventory records, shipping documents, and warehouse systems.
- Excellent organizational and time management abilities.
- Effective verbal and written communication skills.
- Ability to proofread documents for spelling and grammar accuracy.
- Strong customer service and professional phone etiquette.
- Ability to interpret written information and follow detailed instructions.
- Problem-solving skills with the ability to identify alternative solutions and resolve issues efficiently.
- Ability to maintain confidentiality and professionalism in sensitive situations.
- Strong teamwork skills with the ability to collaborate across departments.

Qualifications:
• High School diploma or equivalent required
• 2+ years of work-related experience in an office warehouse or distribution center; and some experience in leading day to day tasks to support operations
• Ability to add, subtract, multiply, and divide in all units of measure
• Proficient in Microsoft Office Products, especially Outlook, Word, and Excel
• The ability to work evenings, holidays and weekends is required. Overtime may be required
