Job Overview
A routine clerical, bookkeeping, accounting and administrative role in the City of Picayune’s accounts payable function, working under the supervision of the Accounting Supervisor and the City Clerk.
Duties and Responsibilities- Enter purchase orders and invoices into vendor files and maintain the master vendor list.
- Process claims and vouchers for payment; match invoices with purchase orders, check claims for accuracy, and verify account codes for proper assignment of budget expenditures.
- Send claims vouchers to department heads for approval and resolve disputes within area of authority.
- Prepare automated and manual warrants; mail warrants and checks.
- Prepare claims for city council approval.
- Enter expenditure data on ledgers, control sheets, vouchers, warrants and other accounting records; enter accounts payable expenditures into the accounting system.
- Maintain accounts payable and encumbrance system for public works contracts.
- Assist in reconciling general ledger to various expenditure reports.
- Prepare periodic financial, statistical or operational reports as assigned.
- Provide clerical support to other financial staff as required.
- Compose, type and edit a variety of correspondence, reports, memoranda and other materials requiring judgment as to content, accuracy and completeness.
- Serve as back‑up to related general services positions.
- Perform other administrative duties as required.
Education and Experience:
Graduation from a high school or GED equivalent with specialized coursework in general office practices such as typing, accounting and data processing or any equivalent combination of education and experience, with additional experience substituting for the required level of training on a year‑for‑year basis.
Knowledge, Skill and Abilities:
Working knowledge of computers and electronic data processing; ability to perform arithmetic computations accurately and quickly; effective verbal and written communication; ability to establish successful working relationships; ability to meet and deal with the public; ability to work under pressure and/or frequent interruptions.

Preferred ExperienceSome accounting experience, preferably government accounting, is preferred.
