Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
We are seeking a highly organized, dependable, and personable Administrative Assistant to support the daily operations of our shul. The ideal candidate is detail-oriented, self-motivated, and comfortable managing a wide range of administrative responsibilities in a fast-paced, community-centered environment. This role requires strong communication skills, discretion, and the ability to collaborate effectively with clergy, staff, lay leadership, and congregants. Both full-time and part-time candidates are eligible for company-paid benefits.
PrimaryJob Duties and Responsibilities
- Registration maintenance:
Edit forms and manage data collection. - Maintain and update the web calendar and organize communication information.
- Book and manage logistics using the Resource Scheduler.
- Coordinate and book occasional travel as needed.
- Manage program communications with congregants, vendors, and professionals.
- Provide Zoom support, including managing the waiting room and highlighting speakers.
- Maintain receipts and invoices for tracking and submission to the Accounts Payable department.
- Compile data and prepare reports as requested.
- Demonstrate flexibility with working hours for special event setup, staffing, and attendance.
- Perform other duties as assigned.

QualificationsMinimum qualifications required to successfully perform the job:
- High School Diploma or equivalent required
- Minimum of one (1) year of administrative or office-related experience
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Power Point
- Strong ability to multi-task and manage competing priorities
- Ability to prioritize work and meet deadlines
- Ability to work independently and as part of a team
- Self-motivated with strong attention to detail
- Effective communication skills, both verbal and written
- Ability to collaborate with a wide range of stakeholders, including colleagues, Beth Tfiloh leadership, lay leadership, and members of the school, shul, and camp communities
