GENERAL DESCRIPTION
The Administrative Specialist provides high‑level administrative and operational support to the Office and Division of Student Services. The role assists the Vice Chancellor with correspondence, scheduling, reporting, communications, and liaison duties with students, staff, and departments.
- Perform general administrative duties including answering telephone, making copies, and developing correspondence; provide customer service to students, faculty, staff, and visitors via phone, email, and in‑person.
- Prepare correspondence, reports, memos, agendas, and presentations; process mail; track deadlines and monitor department projects and initiatives; attend meetings and take minutes upon request.
- Handle confidential and sensitive information with discretion and professionalism.
- Provide administrative support for student services events, programs, and outreach efforts.
- Assist in the preparation and maintenance of department budgets, including purchase orders, requisitions, and expense tracking.
- Create and maintain files for appeals, complaints, grievances, student conduct, and Title IX cases.
- Support communication between the Vice Chancellor and Student Services departments (Advising & Learning, Counseling, Financial Aid, Registrar, Admissions, Student Life, Student Support Services).
- Perform other duties logically associated with the position as assigned.
Knowledge of a specialized field (e.g., basic accounting, computer), equivalent to four years of high school plus two years of college/trade training, plus five years of related experience and/or training or an equivalent combination of education and experience.
PREFERRED QUALIFICATIONS- Familiarity with Banner, Argos, or other student information systems.
- Experience supporting senior‑level administrators in a college or university setting.
- Understanding of FERPA and student confidentiality standards.
