The HR Administrator / Executive Administrative Assistant provides administrative support to the Human Resources department while also assisting the CEO and CFO with executive-level administrative tasks. This role plays a key part in maintaining organized HR operations, supporting leadership initiatives, and ensuring smooth daily workflow across departments. The position requires professionalism, discretion, and the ability to manage multiple priorities in a fast-paced manufacturing environment.
Essential Duties and Responsibilities Human Resources Support- Provide administrative support to the HR Manager and HR department.
- Maintain accurate and confidential employee records (electronic and paper) in compliance with company policies and legal requirements.
- Assist with onboarding processes including new hire paperwork, I-9 verification, orientation coordination, and HRIS data entry.
- Support offboarding processes, including exit documentation and record updates.
- Coordinate background checks, drug screenings, and employment verifications.
- Assist with benefits enrollment and respond to employee benefit inquiries.
- Support timekeeping and payroll documentation as needed.
- Prepare HR reports, spreadsheets, and metrics.
- Assist with employee engagement initiatives and internal communications.
- Ensure strict confidentiality of employee and company information.
- Manage calendars, schedule meetings, and coordinate appointments.
- Prepare meeting materials, reports, presentations, and correspondence.
- Assist with travel arrangements and expense reporting.
- Maintain organized records and files related to executive activities.
- Support special projects and leadership initiatives as assigned.
- Act as a professional liaison between executives and internal/external stakeholders.
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- 2–4 years of administrative experience; HR and/or executive support experience strongly preferred.
- Experience in a manufacturing environment is a plus.
- Bilingual Preferred (English & Spanish)
- High level of professionalism and discretion.
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Advanced proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
- Experience with HRIS systems preferred.
- Ability to manage multiple priorities and work independently.
- Strong attention to detail and accuracy.
Frequently walk up and down stairs to access different areas of the facility.
Sit for extended periods while working at a computer.
Occasionally lift up to 15–20 pounds (files, office supplies, etc.).
