Position DefinitionTo perform complex clerical duties related to the review of time cards and preparation of payroll for completion of monthly and variable payroll, using journey-level skills for this clerical series.
DutiesDuties may include, but are not limited to, the following:
- Audit student, hourly, classified, management and faculty time cards with correct totals and GL number and forward to the District or higher-level payroll personnel.
- Prepare absence reports for regular classified and academic personnel.
- Monitor leave balances and prepare paperwork for wage deduction due to over-use of leave hours.
- Answer inquiries regarding payroll preparation and discrepancies.
- Prepare, modify and audit variable teaching spreadsheets and submit to District Payroll personnel; answer queries about and resolve related problems.
- Create monthly absence spreadsheet for part‑time faculty and submit to District Payroll for input.
- Compile and send a variety of payroll reports to the District or higher‑level payroll personnel.
- Maintain the payroll tracking system, monitoring time worked by part‑time hourly classified employees to ensure appropriate hours‑worked limits are adhered to; contact managers regarding problems and potential solutions.
- Inform higher‑level payroll personnel of missing absence reports, employees on sick leave, extended sick leave or jury duty.
- Submit substitute information regarding hours worked and rate.
- Download, calculate, audit time sheets and create spreadsheet reports for faculty payroll; submit completed reports to District Payroll for payment.
- Verify hours on time cards, faculty contact hours and extended totals and forward time cards to the District Payroll Office for input.
- Perform journal entries if incorrect codes are assigned for student or variable payroll.
- Calculate over payments and compose correspondence to employees.
- Explain policies, procedures, laws and regulations related to payroll operations to District personnel.
- Sort and distribute daily payroll mail.
- Identify and analyze potential payroll problems, contact employees and supervisors, document problem area and recommend corrective action.
- Distribute payroll warrants and other documents; process payroll emergency check requests as needed; complete form, create required memos and forward to District Payroll Office.
