An industry-leading software company is seeking a highly organized and detail-oriented HR / Executive Assistant to support key human resources functions while providing administrative support to executive leadership and the sales team. This role is ideal for someone who enjoys wearing multiple hats, thrives in a collaborative environment, and is comfortable balancing both people-focused and operational responsibilities.
Overview of the HR / Executive Assistant Role:
• Support the full employee lifecycle, including job postings, scheduling interviews, onboarding, and offboarding.
• Assist with employee relations matters and conduct exit interviews.
• The HR/Executive Assistant will administer employee benefits, including medical, dental, vision, short- and long-term disability, and life insurance.
• Process monthly payroll, payroll taxes, and year-end reporting.
• Upload and manage monthly 401(k) and FSA data.
• Track and maintain employee PTO and HR records.
• The HR/Executive Assistant will serve as a backup to the Office Manager with accounts receivable and accounts payable tasks.
• Assist with annual budgeting and financial planning processes.
• Take meeting notes during monthly executive and management meetings.
• Provide administrative support to the President/CEO, VP of Operations, and VP of Business Development.
• The HR/Executive Assistant will coordinate travel arrangements, expense reporting, and international documentation.
• Maintain customer license files, agreements, and compliance records.
• Coordinate logistics for annual trade shows and assist with planning customer forums.
• Support company events, initiatives, and special projects as needed.
Preferred Qualifications of the HR/Executive Assistant Role:
• Associate’s degree required;
Bachelor’s degree preferred.
• Experience supporting HR functions and executive leadership.
• Proficiency with payroll, HRIS, or accounting systems.
• Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
• Excellent verbal and written communication skills.
• Professional demeanor with the ability to interact effectively with employees, executives, and customers.
• Strong organizational, time management, and multitasking skills.
