Development Coordinator (Administrative Coordinator)

Reporting to the Senior Associate Director of Communications and Stewardship, the Development Coordinator serves as an integral part of activities associated within the department of Development and Alumni Relations at the Weitzman School of Design and the Dean’s Suite.

Responsibilities
  • Provide support to the Senior Associate Director of Communications and Stewardship by creating and sending DAR email invitations and alumni communications in Marketing Cloud system, including event communications and Weitzman’s bi-monthly Alumni Newsletter.
  • Create and maintain event registration in DAR’s IModule’s system.
  • Attend regular meetings and trainings for Marketing Cloud, Compass, and IModules users.
  • Adhere to University’s Marketing Cloud, Compass, and IModules governance.
  • Pull reports and coordinate accurate lists for alumni and donor communications.
  • Assist frontline gift officers in formatting and sending proposals as needed.
  • Assist with operations for alumni engagement, cultivation, and stewardship events as needed, including researching and coordinating with venues, ordering catering, creating floor plans, coordinating with IT, organizing presentations, and submitting all Smartsheets for facilities.
  • Support the creation of briefings for select events that include key information for DAR team members, staff and faculty.
  • Lead registration including working registration at events, reconciling attendance lists, and uploading finalized event attendance lists to the Compass database.
  • Travel to regional events to assist with set up, break down, and work registration as needed.
  • Create nametags, table tents, and signage for events as necessary.
  • Place calendar holds for faculty and staff for DAR events.
  • Maintain DAR team events calendar.
  • Place orders for swag for events.
  • Support the Associate Dean of Development and Alumni Relations, oversee the administration and planning for the Board of Advisors meetings and dinners.
  • Research venues, manage catering, reservations, attendance, email reminders, take minutes, print materials, and organize presentations for meetings.
  • Maintain Board of Advisors annual biographical information.
  • Assist with the planning of the Alumni Association and Dean’s Council activities as needed, including preparation of table tents, printed materials, and nametags.
  • Assist Senior Associate Director of Communications and Stewardship in preparation and sending impact reports through Marketing Cloud and Compass.
  • Send letters of acknowledgement on behalf of the Dean and track in Compass.
  • Assist in the preparation of stewardship gift mailings, including sending and tracking birthday and holiday cards.
  • Maintain Compass database including contact updates, board affiliations, donor activities, etc.
  • Process all gifts that are received directly to the Department.
  • Assist in the preparation of gift agreements.
  • Attend team weekly acknowledgement meetings and coordinate reallocation of gifts with Central.
  • Order office supplies as needed.
  • Process team reimbursements and vendor invoices.
  • Serve as point person for all Benfinancial services including onboarding new vendors, processing expense reports, and the creation of new funds.
Qualifications
  • High School Diploma and 5-7 years of experience or equivalent combination of education and experience is required.
  • BA/BS preferred.
  • Must have strong computer, interpersonal and communication skills. Attention to detail and exceptional organizational skills. Ability to work collaboratively contributing to a total team effort.
  • Proficiency in the use of the Microsoft Office Suite (Word, Excel, etc.) and complex database systems.
  • Clear and engaged communication skills.
  • The ideal candidate will have a curiosity for learning best practices for development and alumni relations and will proactively partner with a variety of departments across all departments at the School.
  • Must be able to work some nights and weekends.
