Enrollment Counselor Position
Carlow University is currently accepting applications for our Enrollment Counselor position. The Enrollment Counselor will recruit and enroll a talented and diverse class of transfer, adult, and graduate students each year. The incumbent will engage with these students through the entire enrollment process, from inquiry to matriculation, serving as a single point of contact. This includes frequent correspondence, application review, basic financial aid counseling, and ensuring that all requirements are met for a smooth transition to the university.
Within a collaborative environment, the Enrollment Counselor will lead or contribute to one or more strategic initiatives, serve as a liaison to one or more campus offices/departments/colleges, and use independent analysis and decision making to develop and execute strategies to increase applications and enrollment of these students.
Primary Responsibilities- Plans and conducts recruitment presentations at community colleges.
- Represents the University at college and graduate/career fairs.
- Employs CRM (Slate) and SIS (Colleague) daily to manage the recruitment funnel and registration process.
- Uses an established communication flow to qualify inquiries, set appointments, encourage applications, and follow up with applicants, admits, and deposits, with the constant goal of moving students along effectively in the admissions process.
- Develops effective written, email, or text correspondence to enhance individual program recruitment management.
- Meets with prospective students during individual campus visits as well as in-person and virtual events.
- Maintains familiarity with partnership and articulation agreements to promote to students who are looking to transfer to Carlow from specific institutions.
- Provides information on Carlow's academic programs, admissions process, financial aid, and scholarships to various faculty/staff at other academic institutions or corporate partners within our region.
- Supports enrollment efforts with corporate partners and serves as an enrollment counselor for students affiliated with our corporate partners.
- Helps to manage strategic partnerships and/or vendor relationships as needed, including with online program management.
- Reviews admissions applications and makes admissions decisions on a regular basis.
- Assists students with various aspects of the financial aid process. Addresses questions regarding the billing process and any other issues that arise during onboarding.
- Performs necessary follow-up with enrolled students to ensure all onboarding steps are fulfilled and any outstanding requirements/paperwork are received.
- Aggressively and proactively monitors and adjusts progress toward goals.
- Nurtures relationships with community college counselors/advisors and other influencers or constituents (e.g., faculty, coaches).
- Conducts unofficial credit evaluations upon request to provide prospective students with a general sense of how many previously earned college credits will transfer to Carlow as needed.
- Works closely with the Student Success Coordinator, or other designated individuals, to prioritize and ensure a quick turnaround time for official transfer credit evaluations.
- Conducts ongoing benchmarking and competitor research, as well as evaluation of trends in higher education, to make recommendations for program or process improvements.
- Participates in the ongoing development, implementation, and assessment of all recruitment strategies, in line with office processes and procedures.
- Attends regular strategy discussions, staff meetings, and professional development opportunities.
- Facilitates international recruitment management when required.
- Participates in, and may be required to organize, an online enrollment event.
- Acts as an intermediary between the Office of Admissions and an assigned college, office, and/or department within Carlow University.
- Becomes an in-house expert on the programs, procedures, and/or offerings of said college, office, and/or department, and serves as a resource to peers within the Office of Admissions.
- Attends meetings of the college, office, and/or department as a representative of the Office of Admissions, as appropriate.
- Demonstrates and reflects an understanding of, and commitment to, the mission and core values of Carlow University and the Sisters of Mercy.
- Always exhibits professional behavior as a representative of the institution.
- Performs other duties as assigned to address and develop personal and professional skill areas and interests, as well as to help meet overall office objectives. The level and extent to which these projects/areas are assigned, either as primary or secondary responsibilities, will correspond with the recruiter's experience, skills, and time management abilities.
