Position: Administrative Assistant I, One Stop - Berkshire Community College

Berkshire Community College (BCC) has the distinction of being the first community college established in the Commonwealth of Massachusetts. Job Description:

Berkshire Community College is seeking to hire an organized, collaborative administrative assistant to support the One Stop Enrollment Center and its offices, which include Admissions, Academic Advising and Coaching, Student Financial Services and the Office of the Registrar. The position works closely with students and their families guiding them through the various enrollment processes.

Essential Functions:

  • Serve as the first point of contact for students, families, and visitors to the College.
  • Provide support in-person, by phone, email, and virtually to assist with enrollment-related questions and processes.
  • Guide students and families through admissions applications and Colleague Self-Service tools.
  • Use Colleague and Ellucian CRM to review records, enter data, and triage inquiries.
  • Perform administrative tasks including data entry, scheduling, and record keeping.
  • Maintain working knowledge of Admissions, Financial Services, Advising, Bridge to College, and Registrar's Office operations.
  • Manage incoming calls and monitor enrollment office email communications.
  • Support student check-in/check-out, and front-line support for responding to student questions.
  • Attend meetings and trainings; take minutes as needed.
  • Process purchase requisitions, travel forms, payment requests, and stipends.
  • Assist with budget tracking and reporting.
  • Ensure accuracy in documentation, data entry, and adherence to College policies.
  • Comply with FERPA regulations and communicate them as needed.
  • Support One Stop events, initiatives, and special projects.
Requirements:
  • Two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, OR Any equivalent combination of the required experience and the substitutions below.
    • Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
      * II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.*
    • * Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
  • Knowledge of office management principles, practices, and the use of general office equipment.
  • Knowledge of report writing methods and the preparation of charts, graphs, and tables.
  • Ability to interpret and apply relevant laws, regulations, policies, and procedures governing assigned activities.
  • Ability to analyze data, draw sound conclusions, and make appropriate recommendations.
  • Strong communication skills, including the ability to give and follow written and oral instructions, write concisely, and present information clearly.
  • Ability to gather, organize, and maintain accurate information and records, ensuring proper documentation and reporting.
