Administrative Specialist
We're looking for an experienced Administrative Specialist to provide day-to-day administrative support to our Operations and Maintenance organizations. This is a detail-oriented, on-site role with a consistent schedule — ideal for someone who thrives in a structured environment, can manage multiple priorities, and takes pride in keeping things organized and running smoothly.
What you'll do:
- Track and maintain coal inventory records
- Process contractor time invoices and manage labor accruals
- Handle rental equipment invoices and related documentation
- Print and distribute preventive maintenance (PM) work orders
- Track action items and record meeting minutes
- Provide general administrative support to Operations and Maintenance teams
What you need:
- 5+ years of administrative support experience
- Strong organizational skills and attention to detail
- Proficiency with Microsoft Office Suite (Excel, Outlook, Word)
- Ability to manage multiple tasks and competing priorities on-site
- Experience with invoice processing or financial tracking a plus
