LOCATION: Wayland Baptist University – Plainview, TX

SUPERVISED BY: Vice President for Finance & Administration/CFO

POSITION CLASSIFICATION: Non-Exempt

GENERAL RESPONSIBILITIES: The Administrative Assistant to the Vice President for Finance & Administration/CFO provides a range of administrative support and coordination of projects for the Vice President for Finance & Administration/CFO. Responsible for maintaining a high standard of professionalism, efficiency, personal communication, discretion, and independent judgement. In working with internal and external contacts, including Board Trustees and other stakeholders, the Administrative Assistant to the Vice President for Finance & Administration/CFO deals with a wide range of highly‑sensitive issues under tight deadlines.

SPECIFIC TASKS AND DUTIES:

  • Assists the Vice President for Finance & Administration/CFO with calendar, scheduling meetings, arranging travel, and serves as the primary point of contact for office.
  • Assists the Vice President for Finance & Administration/CFO with preparation, review, and editing correspondence, reports, and presentation.
  • Maintains accurate and organized files, both physical and electronic, including confidential financial and legal documents.
  • Organizes, plans, and prioritizes work to meet specific goals.
  • Assists with any office administrative needs including, but not limited to, written correspondence, printing and copying forms, and sending out communications.
  • Prepares timely requisitions for supplies, equipment, and other items.
  • Provides high‑level administrative and project support to the VP for Finance & Administration/CFO.
  • Assists with planning and execution of special projects and strategic initiatives.
  • Acts as a communication link between the Vice President for Finance & Administration/CFO, other departments, external partners, and other stakeholders.

MINIMUM QUALIFICATIONS:

Education: Requires a High School Diploma or Equivalent with 15 years of proven experience or Bachelor’s Degree or Equivalent with 5 years of proven experience.

Experience and Knowledge: Prefer 5 years of proven experience (with Bachelor’s degree) or 15 years of proven experience (with High School Diploma) in a professional administrative role with a preference in finance or professional services environment.

Skills and Abilities:

  • Proficiency in Microsoft Office Suite and other relevant software for financial data and presentations
  • Must possess strong interpersonal and written communication skills
  • Must possess discretion and integrity
  • Ability to work independently and manage multiple priorities

Work Environment: The work environment for this position is a standard office setting. Employees will work primarily at a desk or workstation, utilizing standard office equipment such as computers, phones, and printers. The office maintains a controlled temperature. Noise levels are generally moderate, with typical office sounds such as conversations and office machinery.

Hours of Work: Plainview campus – Although full‑time, nonexempt Plainview employees are normally scheduled to work 37.75 hours per week, the official work week for full‑time salaried employees is forty (40) hours. External campuses – Although full‑time, nonexempt external campus employees are normally scheduled to work 37.75 hours per week, the official work week for full‑time salaried employees is forty (40) hours.

Normal work days on all campuses are Monday through Friday.

Physical Demands:

  • Frequently stand and walk;
  • Frequently flex upper trunk forward while sitting or standing;
  • Frequently lift up to 10 pounds and occasionally lift up to 25 pounds;
