The Controller is responsible for the overall financial management, accounting operations, reporting, compliance, and internal controls for a multi-company commercial mechanical, electrical, and plumbing (MEP) contracting organization. This role oversees accounts payable, payroll, cash management, job costing, financial reporting, audits, tax compliance, banking relationships, and construction-specific accounting functions while supporting executive leadership with financial analysis and strategic decision-making.
- Direct and oversee all accounting operations, including general ledger, accounts payable, payroll, accounts receivable, fixed assets, and cash management.
- Prepare and review monthly, quarterly, and annual financial statements and supporting schedules.
- Close accounting periods and maintain accurate financial records across multiple entities.
- Monitor financial performance and provide management with timely job cost and profitability reporting.
- Maintain and reconcile multiple bank accounts and company financial records.
- Manage investment activity and record related transactions.
- Oversee job setup, contract administration, and project accounting within the company ERP system.
- Review and process budget adjustments, contract modifications, and change orders for financial accuracy.
- Monitor job cost reporting and work-in-progress (WIP) schedules.
- Provide project managers and executive leadership with current project financial performance and cost analysis.
- Ensure proper phase and cost code structures are maintained for accurate labor and cost tracking.
- Supervise payroll processing and payroll administration staff.
- Review payroll reports, labor allocations, timekeeping records, and employee benefit calculations for accuracy.
- Ensure compliance with prevailing wage and certified payroll requirements.
- Support employee benefit reporting and administration.
- Assist with wage reviews, labor burden calculations, and workforce cost analysis.
- Oversee accounts payable operations and payment processing.
- Manage company credit card programs and expense reporting.
- Monitor daily cash activity, deposits, electronic banking transactions, and positive pay systems.
- Maintain adequate cash flow and coordinate transfers between operating and payroll accounts.
- Develop and maintain banking relationships to support organizational financing and operational needs.
- Ensure compliance with federal, state, and local tax regulations.
- Oversee payroll tax filings, unemployment tax reporting, and other required governmental filings.
- Coordinate sales and use tax compliance activities.
- Manage quarterly estimated tax payments and year-end tax planning activities.
- Maintain compliance with all applicable construction industry regulations.
- Coordinate quarterly reviews, annual audits, insurance audits, and other external examinations.
- Prepare audit schedules, reconciliations, supporting documentation, and financial analysis required by auditors.
- Serve as the primary liaison with external auditors, tax advisors, banks, bonding companies, and insurance providers.
- Prepare and review management representation letters and other required certifications.
- Ensure compliance with loan agreements, bonding requirements, and financial covenants.
- Supervise accounting department personnel, including payroll and accounts payable staff.
- Provide guidance, training, and problem resolution to accounting team members.
- Establish and maintain effective accounting procedures, workflows, and internal controls.
- Support cross-functional collaboration with project management, operations, purchasing, human resources, and executive leadership.
- Provide backup support for critical accounting functions when necessary.
- Maintain accounting and financial reporting systems to support efficient operations.
- Evaluate and improve accounting processes, controls, and reporting capabilities.
