Position Summary
The Procurement & Fleet Manager is responsible for developing, implementing, and overseeing market-wide procurement, inventory control, warehouse operations standards, and fleet asset management across multiple service locations. This role provides leadership and accountability for local Warehouse Managers while ensuring consistency in purchasing practices, inventory accuracy, fleet readiness, vendor performance, and operational controls.
The Procurement & Fleet Manager serves as the strategic owner of material and fleet management processes, partnering closely with General Managers, Operations Leaders, Accounting, and vendors to optimize inventory investment, control costs, improve technician productivity, and maintain fleet reliability.
This position helps to manage Warehouse Managers within the market and drives standardized processes across all locations while ensuring local execution meets company expectations.

Essential Responsibilities
Procurement & Inventory Management
- Develop and maintain procurement strategies that support HVAC, Plumbing, and Electrical operations.
- Manage supplier relationships, negotiate pricing agreements, and drive vendor performance.
- Establish and enforce purchasing standards, inventory controls, and replenishment practices across all locations.
- Monitor inventory levels, turns, obsolescence, and stock availability to balance service levels and inventory investment.
- Analyze purchasing and inventory data to identify cost savings opportunities and operational improvements.
- Provide vendor-level relationship management and escalation support for key suppliers and consignment partners.
- Review and recommend approval of consignment vendor invoices and inventory-related expenditures in accordance with company policies.
Fleet Management
- Coordinate company-wide vehicle acquisition activities, including:
- Placing approved vehicle orders
- Tracking order status and delivery timelines
- Coordinating vehicle upfits and equipment installations
- Managing vehicle onboarding and onsite setup activities
- Develop standards for fleet specifications, equipment layouts, and replacement planning.
- Monitor fleet utilization, repair trends, maintenance compliance, and operating costs.
- Review repair estimates exceeding location-level approval thresholds and provide recommendations for General Manager approval.
- Partner with local operations leaders to ensure service vehicles remain safe, compliant, and operationally ready.
Warehouse Operations Leadership
- Directly supervise and develop Warehouse Managers across multiple locations.
- Establish performance expectations, KPIs, and accountability measures for warehouse teams.
- Conduct regular site visits and operational audits to ensure compliance with company standards.
- Identify training needs and provide coaching to improve inventory accuracy, warehouse efficiency, and service support.
- Drive continuous improvement initiatives across receiving, stocking, inventory control, and technician support processes.
- Ensure consistency in warehouse operations and inventory management practices company-wide.
Financial & Administrative Responsibilities
- Perform final review and approval of each location's month-end inventory reconciliation prior to submission to Accounting.
- Monitor purchasing, inventory, fleet, and warehouse-related expenses against budget expectations.
- Deliver consolidated reporting and analysis on key procurement, inventory, warehouse, and fleet performance metrics.
- Support forecasting, budgeting, and strategic planning efforts related to inventory and fleet assets.
- Recommend operational improvements that drive cost efficiencies and enhance service delivery.
Oversight Responsibilities

- Placing and tracking approved vehicle orders and coordinating vehicle upfits and onsite readiness.
- Reviewing repair estimates above established location approval thresholds and making recommendations for General Manager approval.
- Reviewing and approving all consignment vendor invoices.
- Conducting final review and sign-off of month-end inventory reconciliations before submission to Accounting.
- Establishing company standards, conducting operational audits, producing consolidated reporting, and managing strategic vendor relationships.
- Performance management, coaching, development and succession planning for Warehouse Managers.
