The new Dallas-North office is located in a mixed-use building with access to retail, restaurants and apartments at Legacy West in Plano – home to several national and global corporations.
This individual performs administrative duties under minimal supervision. This position requires the individual to perform with a high degree of independent judgment and discretion, requires a thorough knowledge of organizational skills and a great attention to detail. This non-exempt, non-billable position provides administrative support for a practice area.
Essential Duties- Handle confidential and non-routine information.
- Work independently and within a team on special, nonrecurring, and ongoing projects.
- Type and design general correspondences, memos, charts, tables, graphs, business plans, etc.
- Deadline driven and follow-up on open items.
- Open new client/matter numbers.
- Filing and file organization (manual and e‑filing).
- Manage correspondence with clients, outside vendors, and international counsel.
- Process invoices for payment.
- Assist with billing and invoicing.
- Assist with expense reports.
- Recommends changes in office practices or procedures.
- Documents office procedures.
- Performs other duties as assigned appropriate for the position.
- Serves as backup receptionist and administrative services clerk.
- Processes Secretary of State filing requests as well as filings with other local courts/agencies.
The Practice Assistant reports to the Office Administrator.
Qualifications KnowledgeThis position requires at least six months of general office experience or training, or an equivalent combination of education and experience. Experience working within a law firm or professional services environment preferred.
A broad range of technical ability, with a demonstrated aptitude and willingness to learn new software/applications is preferred for this position.
SkillsThe Practice Assistant must be proficient with Microsoft Office applications. The Practice Assistant must be detailed oriented and able to follow instructions as given. The individual must possess strong client focus, as well as strong written and verbal communication skills, with the ability to work both individually and as a member of a team. The ability to work with many different types of personalities at all levels of organization is a must.
This individual must have the ability to answer questions while maintaining confidentiality. The individual must have a sense of “urgency” and be proactive in taking care of daily task. Must be flexible and able to adapt to change quickly. Strong organizational skills are required to plan, prioritize, and organize diversified workload.
The Practice Assistant must possess a high school diploma or equivalent; recent college degree preferred.
Physical DemandsMust be able to move around the office up to 15% of the time to make copies, fax, file, etc.;
Remains stationary at least 80% of the time. This position operates computers and other office productivity machines (e.g., fax machine, copier, printer, etc.) on a regular basis.;
Occasionally required to move documents or files weighing up to 15 lbs.;
This position requires constant communication and exchange of information with the Firm attorneys, clients and staff;
This position must be able to inspect and observe information on a computer screen at least 80% of the time.
