Position Overview

The Office Administrator & Administrative Assistant is responsible for overseeing daily office operations while providing administrative support to senior leadership. This role serves as a partner to leadership, ensuring organizational efficiency, professionalism, and seamless execution of administrative and operational priorities. The position requires strong organizational, communication, and problem‑solving skills, along with the ability to manage confidential information and multiple priorities in a fast‑paced environment.

What

You Will Do
  • Oversee daily office operations, ensuring a professional, organized, and efficient work environment.
  • Maintain office cleanliness and appearance.
  • Orders, sets‑up/breaks down, and oversees all catering and food orders as needed for office events.
  • Greet and assist visitors, clients, and vendors, creating a positive and professional first impression.
  • Serve as the primary point of contact for building management and oversee facility‑related requests and operations.
  • Manage office budget items including supplies, equipment, and vendor services; track and process invoices as needed.
  • Handle sensitive and confidential information with a high level of discretion and professionalism.
  • Manage incoming and outgoing correspondence, packages, and communications on behalf of leadership.
  • Administer employee access badges, office assignments, and workspace logistics.
  • Identify opportunities to improve administrative processes and office efficiency.
  • Support special projects and initiatives on behalf of leadership as assigned.
Skills For Success
  • High school diploma or equivalent required.
  • Minimum of 3–5 years of administrative experience, including experience supporting senior leaders or executives.
  • Demonstrated experience managing calendars, meetings, and office operations.
  • Strong organizational skills with exceptional attention to detail.
  • Advanced time‑management and ability to manage competing priorities.
  • High level of professionalism, discretion, and judgment.
  • Excellent verbal and written communication skills.
  • Ability to build relationships.
  • Proactive problem‑solving mindset with strong decision‑making capability.
  • Ability to thrive in a fast‑paced, dynamic environment.
  • Proficiency in Microsoft Office Suite and administrative tools.
