This highly collaborative role supports all departments and branch offices and serves as a key point of contact for agents, clients, and internal stakeholders. - Manage front‑facing communications by answering, directing incoming calls, greeting associates, clients, and visitors, and ensuring a professional and positive experience for all interactions.
- Notify appropriate recipients of incoming faxes and communications.
- Process and distribute incoming mail; coordinate package pick‑ups and deliveries.
- Review and process new submissions accurately and efficiently.
- Support meetings by setting up and coordinating conference rooms.
- Assist vendor maintenance (e.g., maintenance, Cintas, water services) and monitor building conditions such as lighting and common areas.
- Coordinate associate moves, manage workstation nameplates, and maintain reception coverage to ensure a welcoming environment.
- Handle incoming and outgoing mail and packages, including distribution via Fed Ex, UPS, USPS, and DHL; verify addresses, create shipping labels, and research missing information using internal systems.
- Process administrative workflows: checks, premium finance, and claims documentation by preparing and routing materials for scanning and retention in accordance with company standards.
- Provide administrative support by scheduling meetings, coordinating conference room set‑ups, ordering catering, and assisting with travel arrangements; in some locations manage corporate housing logistics.
- Handle facilities‑related financials and requests, including processing invoices, responding to Service Now tickets, and proactively ordering supplies to avoid workflow disruptions.
- Manage security access and badging: track visitor badges, coordinate keycard replacements, and submit new employee access requests.
- Maintain records and file systems using tools such as Iron Mountain and OnBase, ensuring proper retention, organization, and retrieval of documents.
- Support continuous improvement by recommending process enhancements, maintaining familiarity with office equipment, and cross‑training to provide team coverage as needed.
- High school diploma or equivalent required; some college preferred.
- Minimum of 2 years of customer‑service experience.
- Proven record of reliability, including strong attendance and job stability.
- Proficiency in computer applications, strong written communication, and multitasking skills.
- Ability to thrive in a high‑volume, fast‑paced environment.
- Self‑motivated with the ability to work independently with minimal supervision.
- Positive, professional demeanor with a strong commitment to delivering excellent customer service.
