Job Summary

This highly collaborative role supports all departments and branch offices and serves as a key point of contact for agents, clients, and internal stakeholders. The position plays an essential role in representing the Company and requires a professional demeanor, a positive and welcoming attitude, a polished appearance, and excellent interpersonal skills. Reliability, punctuality, and strong organizational abilities are critical to success in this role.

In this position, you will manage front‑facing communications by answering and directing incoming calls, greeting associates, clients, and visitors, and ensuring a professional and positive experience for all interactions. Additional responsibilities include notifying appropriate recipients of incoming faxes and communications, processing and distributing incoming mail, coordinating package pick‑ups and deliveries, reviewing and processing new submissions accurately and efficiently, and supporting meetings through conference room setup and coordination.

Job Responsibilities
  • Provide front office and facilities support, including assisting vendors (e.g., maintenance, Cintas, water services) and regularly monitoring building conditions such as lighting and common areas.
  • Support office operations by coordinating associate moves, managing workstation nameplates, and maintaining reception coverage to ensure a welcoming and professional environment.
  • Manage incoming and outgoing mail and packages, including distribution (Fed Ex, UPS, USPS, DHL), verifying addresses, creating shipping labels, and researching missing information using internal systems.
  • Process administrative workflows, including check, premium finance, and claims documentation by preparing and routing materials for scanning and retention in accordance with company standards.
  • Provide administrative support such as scheduling meetings, coordinating conference room setups, ordering catering, and assisting with travel arrangements; in some locations, manage corporate housing logistics.
  • Handle facilities‑related financials and requests, including processing invoices, responding to Service Now tickets, and proactively ordering supplies to avoid workflow disruptions.
  • Manage security access and badging, including tracking visitor badges, coordinating keycard replacements, and submitting new employee access requests.
  • Maintain records and file systems using tools such as Iron Mountain and OnBase, ensuring proper retention, organization, and retrieval of documents.
  • Support continuous improvement by recommending process enhancements, maintaining familiarity with office equipment, and cross‑training to provide team coverage as needed.
Requirements
  • High school diploma or equivalent required; some college preferred.
  • Minimum of 2 years of customer service experience.
  • Proven record of reliability, including strong attendance and job stability.
  • Proficiency in computer applications, with strong written communication and multitasking skills.
  • Ability to thrive in a high‑volume, fast‑paced environment.
  • Self‑motivated with the ability to work independently with minimal supervision.
  • Positive, professional demeanor with a strong commitment to delivering excellent customer service.
